About the role
OVERVIEW:
Based at the Company's Head Office in Maxville, the focus of this role is to provide exceptional customer service, in person and on the telephone, and to work with the Dispatcher to coordinate deliveries and dispatch drivers and trucks. Additionally, the Customer Service Representative (CSR) processes payments, generates invoices for customers, and responds to customer and driver inquiries. This role is full-time permanent working from Monday to Friday each week.
RESPONSIBILITIES:
- Handle incoming calls, direct them to the appropriate individuals, and effectively communicate with customers in person and over the phone to address inquiries, provide information, and ensure exceptional customer service.
- Take customer orders for goods or services; promote goods or services.
- Provide information about accounts; update accounts; initiate billing and process payments; and receive payment for services.
- Perform accounts receivable tasks including contacting customers to arrange payment schedules.
- Daily bank deposits.
- Process over-the-counter lubricant sales.
- Cardlock inventory fuel movements.
- Cardlock administration.
- Complete and review daily truck reports.
- Ensure all customer billing is accurate and on time
- Ensure supplier invoices are processed accurately and on time
- Prepare progress reports to ensure processes are in control.
- Contribute to the month-end process.
- Collaborate with sales and operations team members to facilitate the coordination of installations and/or repairs.
Other:
- Provide backup support for other CSRs.
- Any other duties which can reasonably be required.
EDUCATION & SPECIALIZED KNOWLEDGE:
- High school diploma.
- Requires a minimum of 2 years of experience in an administrative/clerical role.
- A demonstrable high degree of computer literacy is essential.
- Ability to quickly and efficiently analyze and evaluate information used to make sound business decisions.
- Exceptional communication skills, both verbal, written, and on the telephone.
- Strong ability to multi-task and juggle competing deadlines and multiple priorities in a very fast-paced environment.
- The ability to travel to nearby MacEwen offices to provide CSR coverage is essential. Must have access to a reliable vehicle.
- The ability to speak and write in both French and English is an asset
