What you can expect from this position:

Reporting to the Manager, Corporate Services, this position is responsible for monitoring and maintaining all contracts and other services within Corporate Services to ensure compliance on a daily basis.

As a Contracts Administrator, Corporate Services, you will:

  • Act as point of contact for Corporate Services vendors and contractors and monitor service delivery against KPI’s.
  • Work with third parties to resolve issues or escalate as needed.
  • Make recommendations on ways to improve service delivery and efficiency.
  • Assist Manager of Corporate Services, with day-to-day functions, staff coverage and ensuring detailed processes are documented for each position within Corporate Services.
  • Oversee and maintain boardroom standards, copy areas and shared lunchrooms weekly against a checklist of items.
  • Order and maintain all general and branded office stationery, emergency office supplies (including First Aid) for Toronto Pearson and distribute on an as-required basis.
  • Initiate, monitor and follow up on all IT Service Desk related issues (i.e.: AV equipment, visitor registration software, etc.).
  • Maintain knowledge in industry trends related to photocopy equipment to ensure Corporate Services is up-to-date with industry standards.
  • Coordinate installations, movements and delivery of photocopy equipment.
  • Provide escort service for all moves and ensure equipment (ex: photocopier, water units) are re-assembled properly and in good working order before leaving.
  • Participate in the tender preparation process and make recommendations on all Corporate Services’ contracts providing input on the most cost-effective solutions. Also participate as a member of the Tender Evaluation Committee.
  • Crosstrain within Corporate Services for additional knowledge and better appreciation of how the unit functions, and back-up for absences.
  • Provide escorts to vendors for all locations located behind the security line for regular service calls

This unionized position is classified at the Band 3 level, with an hourly wage of $35.11, based on a 37.5 hour work week.

This is the role for you, if you have:

  • Five (5) years of strong customer service skills.
  • Two (2) years’ experience with scheduling and supervising employees in a team environment.
  • Two (2) years’ experience troubleshooting general office equipment breakdowns and performing minor repairs.
  • Advanced Level Microsoft Excel skills to create large, complicated spreadsheets, input data and analyze information relating to Corporate Services’ equipment, inventory, usage, location and other data analysis as required.
  • Valid class “G” Ontario Driver’s license.
  • Ability to lift and move boxes, supplies and other office equipment.
  • High school diploma.
  • Ability to obtain and retain a Transportation Security Clearance.

Knowledge and skills you bring, that set you up for success:

  • Ability to handle multiple priorities, prioritize work, analyze problems and identify effective solutions, utilize judgment in interpreting, adapting and applying guidelines independently to resolve gaps.
  • Ability to deal effectively with guests, customers, vendors and general public.
  • Proficiency in Oracle 11i software or higher for processing of invoices and chargebacks.
  • Experience in Oracle iProcurement software in order to place orders of Corporate office supplies and receive supplies.
  • Experience in Software auditing tool (Print Audit) required to calculate and monitor usage, cost, print volumes, associated chargebacks and print history by individual multifunctional (photocopier) machine.
