Administrative Assistant – Human Rights, Equity & Health Policy (0.5 FTE) Posi t io n Overview Responsible for providing administrative support for the Professional Practice and Advocacy department (primarily the Human Rights, Equity and Health Policy portfolio), including correspondence, event and course registration, travel, venue and meal arrangement, ensuring venues are set up with proper materials and equipment, communicating with members, and maintaining information in database systems.

Key Responsibilities Provides administrative support to the PPA department, primarily the HRE and Health Policy portfolio.

  • Provides administrative support for the HRE committees, caucuses and networks (including taking and formatting minutes).
  • Drafts and prepares correspondence for signature.
  • Proofreads and edits materials.
  • Sets up and distributes notices of meetings, courses/workshops, agendas and correspondence.
  • Processes and ships outgoing mail and packages for workshop participants, and for the stewards’ regular weekly mail-out.
  • Works within the computerized network system. Uses technology for various applications, such as database management, word processing and document production.
  • Receives assignments from officers and other union staff. Establishes own priorities within the framework of assignments received and resolves work assignment conflicts with the Director, Diversity, Equity and Inclusion. Deals with time sensitive issues effectively.

Provides administrative support for courses and events.

  • Organizes and takes registration applications.
  • Assists with booking venues and meeting rooms and arranging catering for events.
  • Orders supplies for courses, workshops and meetings.
  • Sets up venues, including materials and equipment.
  • Makes travel arrangements.
  • Communicates with members and assists with enquiries and/or requests.

Sets up and maintains filing systems.

  • Ensures registrant information records are up to date and accurate in database systems.

Performs Other Related Duties As Assigned. Administrative Assistant – Professional Practice (0.5 FTE) Posi t io n Overview This position is responsible for providing administrative support for Professional Practice Officers in the Provincial Office of BCNU as well as for standing/ad hoc committees of the BCNU Council. This position is also responsible for designing and creating databases. This position is under general supervision and operates with independence. The incumbent receives new assignments in the form of verbal, written or email guidelines from a number of officers or other union staff, and is required to exercise initiative in the organization of their related duties.

Ke y Responsibilities Provides administrative support for Professional Practice Officers in the Provincial Office of BCNU as well as for standing/ad hoc committees. Performs administrative duties for other members of the Professional Practice and Advocacy department.

  • Sets up and maintains filing systems; bring forward lists, maintains up to date records of union functions, staff assignments, meetings, and Professional Responsibility Forms.
  • Working in conjunction with the Professional Practice Officers and other members of the Professional Practice and Advocacy team, creates and updates process documentation.
  • Arranges meetings, facility appointments, travel, and accommodation.
  • Provides members with basic information about the Professional Responsibility Process.
  • Makes and receives enquiries, takes and relays messages and information to a wide variety of contacts.
  • Receives and relays messages for staff assigned to include clearing of voicemail for such staff when requested.
  • Prepares various documentation such as correspondence, reports, statistics, and materials for review and approval for various parties.
  • Helps prepare file review documentation for Professional Practice Officers and other members of the Professional Practice and Advocacy team.
  • Assists in responding to PIPA requests.
  • May be required to transcribe and type from notes, voice recordings, copy, rough draft and verbal outline. This may be routine, specialized, or confidential in nature.
  • Sets up and distributes copies of meeting notices, agendas, and related correspondence.
  • Administers various bursaries, works with the Bursary Committee, and attends committee meetings, including minute taking and follow up on action items.
  • Liaises and coordinates with different teams within the Professional Practice and Advocacy department as well as other departments at BCNU.
  • Establishes own priorities within the framework of assignments received and resolves work assignment conflicts with supervisor.
  • Provides back-up for other Administrative Assistants in the PPA department.
  • May be required to deal with time sensitive issues and competing priorities.

  • Enters and categorizes information on the Professional Responsibility Process into the database.
  • Designs and creates databases as required.
  • Performs simple programming (Macros and Complex Functions).
  • Reviews/provides reports.

P e rf o r m s other related duties as assigned. Qualifications for Administrative Assistant – Human Rights, Equity & Health Policy (0.5 FTE) and Administrative Assistant – Professional Practice (0.5 FTE) The Successful Applicant Must Have

  • A diploma or certificate from an Administrative Assistant, Applied Business Technology or Medical Office Administration program and three years of experience in an office environment or an equivalent combination of education, training and experience.
  • Current knowledge of standard office methods and procedures. Demonstrated ability to effectively utilize MS Office and applicable databases such as UnionWare.
  • Knowledge of medical terminology (or prepared to take a medical terminology course).
  • Current knowledge of the provincial collective agreement.
  • Ability to communicate effectively both verbally and in writing.
  • Strong attention to detail, proofreading and editing skills.
  • Ability to manage correspondence and research information.
  • Ability to work independently and deal with others effectively.
  • Ability to create databases and online forms.
  • Ability to create and document processes.
  • Ability to format, filter, and index information.
  • Ability to problem-solve.
  • Ability to organize work.
  • Ability to simultaneously listen and record minutes.
  • Ability to type a minimum of 65 wpm.
