Essential Functions
- Greet clients and visitors with warmth and professionalism, ensuring a positive first impression of the Firm.
- Notify applicable personnel of visitor arrivals
- Answer internal and external telephone calls in a professional and courteous manner, transferring calls and taking messages as required
- Manage boardroom bookings and hospitality requests using Meeting Room Manager software
- Assist with Firm security by ensuring front desk is never unattended and all visitors are accurately logged
- Issue and manage employee and visitor access passes
- Maintain a clean, organized, and professional reception area at all times
- Forward all staff absence notifications to applicable individuals in a timely manner
- Exercise discretion and uphold strict confidentiality in all interactions and responsibilities.
- Additional administrative and clerical duties as assigned
Qualifications
- Five years' previous experience as a receptionist in a legal or professional services firm
- Knowledge of or experience with a computerized switchboard and large meeting room booking software. Experience with Rendezvous is an asset
- Excellent communication skills and superior client relation skills with a keen sense of professionalism
- Proficient computer skills including MS Outlook, Word, Excel, and legal-based software programs
- Ability to work as a team and good problem-solving abilities
- Self-motivated, highly organized with the ability to multi-task in a fast-paced work environment
- Flexibility to work between the hours of 7:30 am - 5:30 pm with occasional overtime, based on the needs of the Firm
Salary range: $50,000 - $60,000
