The anticipated annual base salary for this position is $67,200 - $88,200. The salary offered will be based on the candidate’s experience, knowledge, skills and qualifications.

Toyota Canada Inc. currently has an exciting opportunity for an enthusiastic individual to provide process, financial and administrative support to our External Affairs (EA), Corporate Strategy, Business Innovation, Advanced Business Development, and Regulatory Affairs departments. This includes planning, compliance, financial administration, budget analysis and event management for the departments.

The successful candidate will also have the opportunity to coordinate with internal and external stakeholders (vendors, contractors, Finance and Accounting, etc.). This reports to the Director, Corporate & External Affairs.

What You’ll be Doing:

  • Strategic time management for leadership including calendar management for the General Counsel & Corporate Secretary, the Director, Corporate & External Affairs, and the National Manager, Business Innovation & Development, scheduling meetings, organizing travel, coordinating executive approval, demo vehicle ordering, and expense reports
  • Liaise regularly with departments, internal Associates, and stakeholders to provide necessary support
  • Monitor and analyze budgets to provide quarterly summary and projections (including monthly report and variance analysis, quarterly forecasting, original budget and forecast creation while flagging any risks and partnering with F&A)
  • Provide financial administration support by creating RQs and POs, processing invoices, tracking expenditures, reviewing contracts, creating and maintaining SOPs, and supporting team member financial administration training for EA
  • Increase collaboration between teams and executives by creating, presenting and implementing the annual team engagement plan for EA and Corporate Strategy
  • Organize the executive holiday party
  • Ensure Corporate Strategy team is supported by booking MC and EC meetings, creating agendas, and supporting organization of Corporate Strategy events
  • Support departments with miscellaneous tasks to ensure timelines are met, including monthly sales press release support, ZEV credit submission
  • Administration Support – maintain department storage room, TCI Connect, supply ordering, vehicle circulation, recurring team meeting scheduling, catering orders, support team members with booking travel, department card reconciliation

What You’ll Bring:

  • Post Secondary education in Business Administration or related discipline
  • Minimum of 2 years’ experience in a similar role
  • Excellent analytical skills
  • Excellent oral and written communication skills
  • Highly organized and ability to plan
  • Ability to multitask
  • Proven ability to communicate and coordinate with cross-functional groups
  • Previous Accounting experience is an asset
  • Previous Automotive industry experience is an asset
  • Bilingual (English/French) is an asset
