JOB DESCRIPTION

The purpose of this position is to provide bilingual reception, secretarial and administrative support to the Department of Social Development and Housing, primarily to Child and Family Services Charlottetown office, with some provincial duties as well. This position requires working knowledge of the programs and services of Child Protection Services and Children’s Services to effectively carry out the key responsibility areas of receptionist, secretarial and administrative support.

Duties will include but are not limited to:

  • Receiving and responding to incoming calls, identifying calls of an urgent nature, and referring appropriately.
  • Obtaining and updating information on various programs and services to answer general inquiries.
  • Ensuring the reception telephone is programmed & forwarded as required at beginning and end of day
  • Maintaining and distributing up-to-date telephone listings.
  • Receiving, screening, and/or directing visitors to the office and answering all queries of a general nature.
  • Ensuring staff contact lists are kept up to date.
  • Scheduling boardrooms in the Sherwood Business Centre.
  • Greeting, assisting and/or directing visitors and the general public.
  • Ordering all office supplies in accordance with Department office supply purchasing procedures.
  • Ensuring office supply invoices are coded, signed, and put in for payment.
  • Entering Child Protection reports on ISM.
  • Verifying packing slips against orders received and following up on any discrepancies.
  • Distributing supplies to staff and/or stock.
  • Ensuring stock areas are kept orderly and clean; and other related duties as required.
  • Other duties as required.

Minimum Qualifications:

  • High school graduation diploma supplemented by a diploma in a recognized office studies program;
  • This is a bilingual position. Advanced oral proficiency in English and French is required.
  • Demonstrated equivalencies will be considered
  • Instructional skills in office procedures as well as advanced computer skills and knowledge of current software applications e.g., Microsoft Word, PowerPoint, Excel and Outlook email;
  • Considerable related administrative support worker experience;
  • Strong communication, interpersonal, time management, decision-making and organizational skills;
  • Proficient in English and French, oral and written;
  • Ability to work independently and as a team member;
  • A good previous work and attendance record and acceptable Criminal Record Check, Vulnerable Sector Check and Child Protection Record Check.

Other Qualifications:

  • Proficiency in other languages is considered an asset;
  • Ability to work in a high activity area;
  • Customer service focused as well as knowledge of the programs and services provided by the Department of Social Development and Housing.
