As an Administrative Assistant, you will provide administrative support to several managers and their divisions within the Finance business unit. Primary duties include:
- Oversee manager calendars and organize to optimize manager time and align with changing priorities.
- Schedule various divisional meetings and events, book boardrooms and venues, provide day-of logistical support, prepare agendas and minutes, arrange catering.
- Support office operations by maintaining office supply stock, printers, boardrooms, hotel workstations and other communal office spaces. Coordinate with Facilities and IT to resolve any issues.
- Complete purchasing and corporate credit card reconciliations on behalf of managers and divisional staff, including professional designation member dues.
- Assist divisional leaders with recruitment by scheduling interviews and procuring IT equipment.
- Coordinate with managers and staff to administer health and safety initiatives.
- Provide coverage to other team members within Administrative Services.
Qualifications
- A completed 1-year certificate in Business Administration and at least 1 year of administrative experience is required.
- Intermediate proficiency in Microsoft Office (Word, Excel, PowerPoint, and Outlook) is required.
- Experience supporting an executive with calendar management is preferred.
- Proficiency in Microsoft Teams and SharePoint will be considered an asset.
- Knowledge of the Enterprise Support System including PeopleSoft Financials and Supply Chain Management (FSCM) will be considered an asset.
- Experience in managing records using Content Server or a similar records management software will also be considered an asset.
- You have excellent communication and interpersonal skills with a proven customer focus and the ability to work effectively independently as well as part of a team.
- Demonstrated organization skills, strong attention to detail and ability to manage shifting priorities in an environment with multiple demands.

Workstyle
- This position may be eligible to work from home for at least part of the time as one of several flexible work options available to City employees. These arrangements depend on the operational requirements of the role, employee suitability, and are subject to change based on operational needs and corporate direction.

Compensation: Pay Grade 6 $34.37 - 45.97 per hour
Hours of work: Standard 35-hour work week.
Days of work: This position works a 5-day work week with 1 day off in a 3-week cycle.
