About the role

Job Summary

The Procurement & Receiving Coordinator is responsible for managing aspects of the purchasing and receiving process within Paradigm and all subsidiaries. This includes ensuring accurate procurement of materials, sourcing suppliers, receiving material and maintaining critical stock levels. The role includes issuance and tracking of purchase orders, communications with vendors, and end users. Procurement & Receiving Coordinator will report directly to the Supply Chain Manager.

 Key Responsibilities

Purchasing:

  • Source and Evaluate Suppliers - Research and identify potential vendors or suppliers. Evaluate suppliers based on price, quality, service, and delivery capabilities. Maintain a database of approved suppliers.
  • Negotiate Contracts and Pricing - Negotiate terms and pricing with vendors to secure the best deals and send all contracts to be approved by the Supply Chain Manager. Establish long-term relationships with key suppliers to ensure stability.
  • Issue Purchase Orders - Prepare and issue purchase orders based on requisitions and stock levels. Verify specifications and ensure accuracy of orders.
  • Monitor Inventory Levels - Track inventory levels to ensure adequate stock without overordering. Work with inventory management systems to determine reorder points.
  • Coordinate with Departments - Collaborate with internal departments and companies to assess purchasing needs. Communicate order status and resolve any supply issues.
  • Track Shipments and Deliveries - Follow up on orders to ensure timely delivery. Resolve shipment delays, shortages, or damages.
  • Maintain Records and Documentation - Keep detailed records of purchases, pricing, invoices, and supplier contracts. Ensure compliance with company policies and regulatory requirements.
  • Analyze Market Trends - Monitor market conditions and price trends to forecast future availability and pricing. Recommend cost-saving opportunities or alternative materials/suppliers.
  • Ensure Compliance - Adhere to purchasing policies, procedures, and ethical standards. Ensure all purchases meet safety, legal, and environmental standards.
  • Assist with Budgeting and Cost Control - Help develop purchasing budgets. Monitor spending and look for ways to reduce procurement costs.
  • Develop standardized Purchasing SOPs and processes for Paradigm and subsidiaries
  • Any additional tasks/projects within the purchasing scope

Receiving:

  • Inspect and verify incoming shipments against purchase orders and packing lists prior to goods being put into inventory.
  • Document and report any discrepancies or damaged items to the relevant departments or suppliers.
  • Ensure all received goods are properly labeled and stored in designated locations.
  • Update accounting system for the receiving of goods.
  • Coordinate with yard team on outside storage for received items
  • Developing a seamless notification system for requesting party
  • Upload photos as part of the receiving process into SharePoint
  • Track inbound shipments with the Logistics and Inventory Coordinator to keep an updated receiving schedule
  • Coordination of ship loose items, including picking, packaging and preparing.
  • Work with the Supply Chain Manager to develop standardized receiving procedures and SOPs
  • Other tasks assigned within the scope of the receiving function

Documentation and Reporting:

  • Maintain purchase orders in accordance with company practices.
  • Maintain organized records of all purchasing transactions.
  • Generate and distribute reports related to purchasing and inventory activities.
  • Assist in the preparation of compliance documents for audits and inspections.

Collaboration and Communication:

  • Work closely with other departments both internal and external to resolve issues.
  • Communicate effectively with carriers, suppliers, and customers to ensure smooth purchasing
  • Provide assistance and support to other factory staff as needed.

Safety and Compliance:

  • Adhere to all safety protocols and procedures to maintain a safe working environment.
  • Ensure compliance with company policies, industry standards, and regulatory requirements.
  • Wear appropriate personal protective equipment (PPE).
  • Participate in ongoing training and professional development.

 

Skills & Qualifications

  • High school diploma or equivalent; additional education or certification in logistics, supply chain management, or related field is a plus.
  • Prior experience in a receiving position
  • Proven experience in purchasing or similar roles.
  • Proficiency with inventory management systems and software.
  • Strong organizational skills and attention to detail.
  • Ability to lift and move heavy objects (up to 50 lbs) and operate factory equipment.
  • Excellent communication and interpersonal skills.
  • Problem-solving abilities and a proactive approach to tasks.
  • Knowledge of safety regulations and best practices in a factory environment.
  • Ability to work with little supervision and track multiple processes.
  • Knowledge of laws, regulations, and ISO requirements.

Compensation & Benefits

  • $28.00 - $33.00 per hour (based on experience).
