The Operations and Accounting Administrator provides administrative, operational, and financial support to the Building Services team. This role helps ensure service contracts, customer communications, and internal processes run smoothly and efficiently. Success in this role means maintaining organized systems, supporting technicians and managers, and helping the service team deliver responsive and reliable service to clients.

Key Impact / Purpose
- Support the successful delivery of service operations by maintaining organized systems, service contract documentation, and administrative processes.
- Strengthen communication and coordination between technicians, account managers, clients, and internal teams.
- Contribute to efficient financial and administrative workflows, including invoicing, reporting, and record keeping.
Duties And Responsibilities
- Enter and maintain service contracts, equipment records, and maintenance task assignments.
- Support the administration and execution of service contracts, resolving issues and assisting Account Managers and Service Coordinators when needed.
- Provide dispatch or customer service support when required.
- Provide administrative support to trade divisions, including technician onboarding documentation and uniform ordering.
- Prepare and process customer invoices, assist with accounts receivable collections, and support accounts payable workflows.
- Maintain accurate financial and administrative records, enter transactions, and assist with reporting and month-end processes.
- Organize and maintain office procedures and coordinate service department functions and internal communications.
- Maintain customer and vendor lists and ensure information is accurate and up to date.
- Assist managers with preparing sales proposals and managing sales-related information.
- Provide project administration support when required.
- Perform additional administrative or operational duties as needed to support the team.
Must Haves
- Progressive administrative support experience in an office or service environment.
- Strong organizational skills with a high level of attention to detail.
- Excellent written and verbal communication skills.
- Strong computer skills, particularly with Microsoft Office.
- Ability to manage multiple priorities in a fast-paced environment.
- Ability to work independently while also contributing to a team environment.
- Strong problem-solving, decision-making, and prioritization skills.
- Professionalism and discretion when handling confidential information.
Nice to Haves
- Post-secondary education in office administration, business administration, or a related field.
- Experience in accounting, bookkeeping, or financial administration.
- Experience in the construction, mechanical services, or building services industry.
This is a replacement position. Expected annual compensation; $50,000 - $60,000
