Purpose** The Surface Mill Clerk’s position is to provide clerical and administrative duties for the functioning of the Mill departments.

Key Responsibilities

  • Scan all 5-point safety cards
  • Scan all time sheets for Mill Operations & Maintenance as needed
  • File all regulatory documents
  • Assist with budget spreadsheets
  • Close work order
  • Monthly Accruals
  • Contractor Tracking Hours

General Administration Duties

  • Maintain schedules & crew lists.
  • Create transmittals. (Assist with eSubmit transmittals for awarded postings, rate changes, vacations, leaves, etc)
  • File workforce personnel information.
  • Provide support for payroll and administration issues.
  • Additional tasks from Mill departments as required.
  • Manage coverall services for the Mill.
  • Interact with all staff.
  • Manage the department’s procurement (purchase orders, receipt of invoices)
  • Follow up hiring and integration of new employees
  • Resolve issues requiring knowledge of Company policies and procedures and ongoing projects
  • Handle confidential and time critical material with tact and discretion.
  • Responsible for file management
  • Responsible for all rental fleet
  • Responsible for Mill Fleet Maintenance Scheduling as needed.
  • Additional tasks as assigned by the Mill Manager
  • Monitor and maintain inventory levels of equipment and supplies necessary for operations and ensure timely deliveries for the department
  • Track and upload contractor hours for HR
  • Organize lunches for meetings, site visits and trainings when required
  • Keep the operation and maintenance teams vacation schedule up to date

Training & Education

  • College Diploma in Office Administration.
  • Proficiency in word processing, spreadsheets and Outlook is required.
  • Mining experience preferred.
  • 2 to five years as a mid-tier office administrator.
  • Strong organizational, analytical, communication, interpersonal skills
  • Familiarity with purchasing & maintenance terminology Computer literate with proficient typing skills, and specific knowledge of Excel, Word, Power Point, Access, Site CMMS, SAP and MS Project.
