About the role
Position Summary The Logistics & Order Management Specialist is responsible for managing the complete order lifecycle from customer order through shipment and delivery. Acting as the central point of coordination between customers, sales, purchasing, warehouse, freight providers, and accounting, this individual ensures orders are processed accurately, shipments are delivered on time, and customers receive exceptional service. This role extends well beyond traditional order entry and requires a strong understanding of logistics, international shipping, documentation, inventory coordination, and customer operations.
Key Responsibilities Order Management Manage the full order lifecycle from order receipt through invoicing and delivery. Review and verify purchase orders, pricing, product specifications, quantities, freight terms, and customer requirements. Enter and maintain customer orders accurately within the ERP system. Process order revisions, cancellations, and change requests. Generate order confirmations and acknowledgements. Monitor inventory availability, backorders, and lead times while communicating updates proactively. Logistics & Shipping Coordinate domestic and international shipments. Prepare shipping documentation including commercial invoices, packing lists, bills of lading, certificates of origin, customs documentation, and export paperwork. Coordinate with freight forwarders, customs brokers, and transportation providers. Ensure shipping documentation complies with customer and regulatory requirements. Track shipments, resolve delivery issues, freight claims, and shipping discrepancies. Apply knowledge of Incoterms and international shipping practices to ensure accurate routing and billing. Customer Service Serve as a primary point of contact for customer inquiries regarding orders, deliveries, product availability, and lead times. Build strong relationships through professional, responsive service. Resolve customer concerns efficiently while maintaining a high level of customer satisfaction. Provide timely updates throughout the order fulfillment process. Cross-Functional Coordination Work closely with Sales, Purchasing, Warehouse, Shipping, and Accounting to ensure seamless order fulfillment. Coordinate priorities to meet customer delivery expectations. Maintain accurate customer, product, and order information within the ERP system. Identify opportunities to improve operational efficiency and order accuracy. Qualifications 3–5+ years of experience in logistics, order management, customer operations, or supply chain. Experience coordinating domestic and international shipments. Strong understanding of shipping documentation, freight coordination, and export processes. Knowledge of customs documentation and Incoterms is considered a strong asset. Experience within manufacturing, wholesale distribution, importing/exporting, or a similar environment is preferred. Proficiency with ERP systems and Microsoft Office, particularly Excel and Outlook. Exceptional organizational skills with outstanding attention to detail. Strong communication, problem-solving, and time management abilities. Ability to manage multiple priorities in a fast-paced environment.
