About The Role
We are seeking a dedicated and personable Administrative Assistant with accounting experience to join our team at Westlock Motors. The successful candidate will serve as the first point of contact for customers and visitors, providing exceptional customer service and ensuring a smooth operational flow within the dealership. This role involves a combination of administrative duties and basic accounting responsibilities, supporting the dealership’s daily functions and financial processes. The Administrative Assistant will play a vital role in maintaining accurate records, managing communication channels, and assisting with financial transactions and reporting. This is a full-time position, working Monday through Friday, offering a competitive hourly wage ranging from $20.00 to $25.00 depending on experience.
Qualifications
The ideal candidate will possess a minimum of 2-3 years of experience in an administrative or reception role, with additional experience in accounting or bookkeeping. Strong communication skills, both verbal and written, are essential to creating positive interactions with customers and team members. Proficiency in Microsoft Office applications, particularly Word and Excel, is required. A basic understanding of accounting principles and practices is preferred. The candidate should demonstrate excellent organizational skills, with the ability to multitask effectively and remain composed under pressure. Independence and initiative are valued traits, along with the ability to work collaboratively within a team environment. A friendly, upbeat attitude and a commitment to delivering outstanding customer service are critical for success in this role.
Responsibilities
Greet customers warmly and determine the purpose of their visit, directing them to the appropriate department or staff member Answer incoming telephone calls promptly and professionally, providing accurate information and directing calls as needed Perform accounting duties including processing accounts payable and receivable, handling cash transactions, preparing bank deposits, and reconciling accounts Assist with month-end closing processes, financial reporting, and maintaining precise and organized accounting records Manage inbound and outbound mail, ensuring timely and accurate distribution Support various administrative functions such as scheduling appointments, maintaining files, and coordinating dealership activities Assist with inventory management, vehicle documentation, and other dealership operations as required Contribute to a positive team environment and support colleagues in daily tasks and special projects
