##Position Summary
Temporary Part-Time Support Staff, Regular Part-Time Replacement contract position (Immediate need to July 23, 2027)
The Fees Officer administers student fees for domestic and international full-time programs within the Registrar’s Office. The role supports fee inquiries, processes payments and refunds, manages overdue accounts and Better Jobs Ontario payment schedules, and works collaboratively with Registrar’s Office teams, International, and other college partners in alignment with relevant government and community policies.
Successful candidates will be required to conduct work within Ontario and must be available to work on campus as required. It is anticipated that this position will meet the needs of the department through a hybrid work arrangement with two to four days on-site at the Doon campus, located at 299 Doon Valley Drive, Kitchener, ON N2G 4M4. The Fees Officer will be scheduled for 24 hours per week, with hours scheduled between Monday to Friday, 8:30 a.m. to 4:30 p.m.
##Responsibilities
Student fees administration and support
- Provide accurate and individualized information regarding student fees, including invoices, payments, refunds, and follow-up processes
- Assess and advise on fee-related follow-up procedures, including the assignment of late fees and management over overdue accounts
- Investigate and respond to fee-related complaints and escalated concerns in collaboration with Finance and other service areas
- Receive and validate documentation related to international student status changes and submit to the appropriate internal contacts
- Support front-line inquiries related to student schedules, registration status, application status, and fee accuracy
- Maintain awareness of relevant global practices, including Immigration, Refugees and Citizenship Canada (IRCC) policies and restrictions, as well as global financial markets that may affect students
Student financial services
- Review, validate, and approve student refund requests using Laserfiche; initiate manual refund requests with Finance when required
- Ensure refunds comply with established eligibility criteria, including withdrawals and application closures, and communicate with students when corrections are required
- Ensure web banking payments are accurately posted to the Financial Information System (FIS) and reflected in the Student Information System (SIS)
- Validate domestic and international payments (Flywire, PayMyTuition, Convera) and issue payment confirmation letters for international student visa applications
- Manage delinquent accounts, including the assessment and reversal of late fees, registration holds, and collections, in collaboration with Finance
- Communicate with students regarding overdue balances, late fees, and registration restrictions
- Supports government student programs by creating tailored fee funding correspondence for clients with special circumstances (e.g., Better Jobs Ontario, WSIB), ensuring accurate program admission requirements, study hours, and book costs are reflected
Client Services support
- Provide additional support to Client Services during peak periods and high-volume inquiry times
- Use queue management software to respond to fee-related inquiries efficiently
- Identify the nature of student inquiries and direct them to the appropriate service area (Student Fees, Student Financial Services/OSAP, or Student Records)
##Qualifications
- Two-year diploma in Office Administration, Business, Social Sciences, or a related field is required
- Minimum two years of relevant practical experience in a customer service environment is required; preferably in an office, financial, or post-secondary setting
- Ability to understand and work with financial information and large databases
- Demonstrated ability to manage competing priorities in a fast-paced environment and meet deadlines
- Ability to determine when flexibility can and should be exercised
- Strong written, verbal, and interpersonal communication skills, including diplomacy and conflict resolution
- Ability to communicate and explain information to students whose first language is not English in a concise and understandable manner
- Demonstrated ability to handle sensitive and confidential information with discretion
- Creative problem-solving skills to resolve complex issues and develop solutions to address student needs and inquiries
