About the Opportunity

Our Saskatoon office is looking to add an enthusiastic Project Administrator to provide support to our team of professionals. As an interdisciplinary consulting firm, we deliver work for a wide range of clients on diverse subjects and issues – all in service of our higher calling of 'spirit' in service for vibrant communities. In this role, you will help to ensure that we are seen as an organization that takes its work seriously from inception to completion, with a professional and creative approach.

Coupled with the diverse learning and project experience opportunities, do you see yourself excited to contribute to:

  • Project and Contract Support. Supporting Project Leaders with the coordination of projects throughout all phases from initiation to completion. This includes tracking project schedules, drafting documents, managing project correspondence, organizing records, and coordinating other administrative details.

  • Branch Administrative Support. Respond to and coordinate a number of administrative tasks associated with supporting the continued growth and evolution of our business.

  • Office Coordination. Acting as the first point of contact by greeting guests and coordinating telephone general inquiries. Acting as the point of contact for Health & Safety office procedures, ensuring the common areas are clean and organized throughout the day, including daily checks and maintenance, and general cleanup.

  • Financial Coordination. Supporting accounting processes such as Visa reconciliation, bank deposits, AR tracking, invoice coding, timesheet and expense approval, petty cash management and reconciliation, and general office purchases.

  • Operational and Premises Support. Keeping up on office inventory and ordering office supplies, arranging for couriers/ mail, keeping common areas clean and organized, managing equipment bookings and other office errands, helping with security and office orientations, and building maintenance.

  • Meeting and Event Coordination. Coordinating meetings, room bookings, catering requests, and staff functions.

  • Other duties as required.

About You

Our ideal candidate has 2 to 5 years of related experience in administration, or project coordination. Are you a proactive and energetic self-starter committed to providing outstanding service?   • Ownership and initiative – You take personal responsibility for the quality and timeliness of work and achieve results, anticipate the impacts of the actions and the needs of others.

  • Attention to detail and critical thinking – You complete tasks while staying mindful of all aspects involved regardless of magnitude, reviewing workload and processes while maintaining your attention to detail.

  • Technically proficient in Microsoft Suite – You have a strong knowledge of Word, PowerPoint, and Excel. You are confident with formatting documents, and writing and compiling proposals, memos, letters, and meeting minutes.

  • Strong organization skills – You complete tasks while staying mindful of all aspects involved regardless of magnitude, reviewing workload and processes while maintaining your attention to detail.

  • Excellent writing and proofreading skills – You are confident with formatting documents, and writing and compiling proposals, memos, letters, and meeting minutes.
