About the role
The Human Resource Coordinator supports the Human Resource Experts by assisting with the delivery of HR services to clients and internal projects. This role focuses on organization, coordination, and day-to-day HR administration to ensure work is completed efficiently and on time.
The Human Resource Coordinator works closely with HR Experts to prepare documents, coordinate projects, support HR processes, and help maintain clear communication with clients and internal teams. This role is ideal for someone who is organized, reliable, and interested in building their HR experience while supporting a high-performing consulting team.
This is a support role where attention to detail, responsiveness, and teamwork are essential. The Human Resource Coordinator helps ensure HR Experts have the information, materials, and coordination needed to deliver excellent client service.

-HR Process Support: Assist HR Experts with onboarding, employee documentation, and HR administrative tasks. -Document Preparation: Prepare policies, letters, reports, and HR documents using OptimaHR templates. -File Management: Maintain organized HR files and documentation for clients and internal records. -Meeting Coordination: Schedule meetings, prepare agendas, and record notes when required.
Employee Lifecycle Support
-Recruitment Support: Assist with job postings, interview scheduling, and candidate communication. -Onboarding Coordination: Prepare onboarding documents and help organize onboarding processes for new hires. -HR Documentation: Support the preparation of employment letters, policy updates, and HR communications.
Employee Relations & Risk
-Trusted HR Counsel: Provide grounded advice on sensitive employee matters with fairness and compliance. -Investigations: Conduct workplace investigations into complaints or misconduct with discretion and objectivity, ensuring thoroughness and impartiality. -Conflict Resolution: Mediate disputes to restore trust and team cohesion. -Compliance Guidance: Ensure alignment with employment standards, occupational health and safety (OH&S), human rights, and privacy legislation. -Risk Mitigation: Proactively identify HR risks and recommend protective strategies.
Employee Relations Support
-Information Gathering: Assist HR Experts by gathering information or documentation related to employee matters. -Process Support: Help prepare materials and documentation related to employee issues, investigations, or workplace concerns. -Compliance Documentation: Support the preparation and organization of documentation related to employment standards and workplace policies.
Policy & Process Support
-Policy Formatting: Assist in preparing, formatting, and organizing HR policies and manuals. -Process Documentation: Help document HR processes and internal procedures. -Workflow Support: Assist HR Experts in keeping projects organized and on schedule.
Data & Reporting
-HR Data Support: Help collect and organize HR data and information. -Document Tracking: Track updates to HR documents, policies, and client materials. -Basic Reporting: Assist with simple HR reports or summaries when required.
Training & Learning Support
-Workshop Preparation: Help prepare presentation materials, training documents, and participant resources. -Coordination Support : Assist with scheduling training sessions or workshops. -Resource Development: Help organize learning materials and supporting documents.
Client Service Support
-Client Communication: Assist HR Experts by coordinating documents, scheduling meetings, and preparing materials for client work. -Document Preparation: Ensure client deliverables are organized, accurate, and ready for review. -Project Support: Help track project timelines and ensure tasks are completed on schedule.
Project & Task Management
-Task Tracking: Use ClickUp or similar tools to track tasks, deadlines, and progress. -Time Tracking: Log hours and help ensure work is recorded accurately. -Coordination Support: Help keep internal projects organized and moving forward.
Toolset
-HR Software: Comfortable learning and using HR systems used by OptimaHR and clients. -Google Workspace: Confident using Docs, Sheets, and Slides to prepare documents and organize information. -Communication Tools: Comfortable using Slack, Zoom, and email to support communication with the team. -Project Management Tools: Able to use ClickUp or similar platforms to track tasks and updates. -Forms & Document Tools: Able to use tools such as Google Forms, Typeform, Jotform, or DocuSign to help manage documentation.
