This role will be located in Vancouver, BC and is hybrid with a minimum of 3 days per week onsite.

What You'll Do

  • Manage and maintain executive's schedule by planning and scheduling meetings, conferences, online conferences and travel. Optimizes schedule for maximum efficiency, prioritizes appointments and proactively resolves schedule conflicts.
  • Coordinate in-office meetings, prepares and circulates electronic and physical meeting materials and coordinates catering with Office Services as required.
  • Supports the scheduling and coordination of meetings, including the preparation of agenda, attendees, and related activities, held on site and via online conference.
  • Prepares and edits correspondence, communications, presentations and other documents.
  • Coordinates travel arrangements as required. Manages domestic and international needs, including air, hotel reservations, ground transportation, visa’s, agendas etc.
  • Assists in monitoring and reporting of expenses, generates purchase orders and completes executive expense claims and corporate credit card reconciliation as per the company guidelines and deadlines. Works with finance and HR in line with the organizational policies and procedures necessary.
  • Provide office backup as needed at the Vancouver Office.
  • Proactively looks for new ways to improve current processes, maximize executive and team productivity and support continuous improvement/efficiency within the reporting departments.
  • Support in making the workplace, and the supported functions, a great place to work through various office and social initiatives.
  • Works closely with the Executive Assistant to the CEO and Executive Assistant of R&D Team and provide back up when necessary.
  • Provide administrative support to other departments/teams as needed
  • Seek out ways to drive effective working practices and collaboration across the support functions and the wider business.

Investor Relations (50%)

  • Support the planning, coordination, and execution of all investor-facing events—including non-deal roadshows, financial conferences, quarterly earnings calls, the Annual General Meeting (AGM), and analyst/investor meetings.
  • Serve as a primary point of contact for IR conference organizers, ensuring professional and positive representation of the company.
  • Manage the scheduling, logistics, and coordination of investor meetings, ensuring alignment on timing, participants, and objectives across internal and external stakeholders.
  • Prepare meeting briefing documents and materials for the Head of IR and executive team, ensuring accuracy and relevance.
  • Maintain the IR CRM by logging investor interactions, updating contact information, and producing reports as needed.
  • Coordinate the preparation of budgets, manage IR invoices and purchase requests, and assist with annual financial planning for the IR function.

What You'll Bring

  • Post-secondary education in business, office administration, or a related program and 5 or more years of related experience or an equivalent combination of education and experience.
  • Proven interpersonal skills with the ability to work collaboratively as a member of a cross- functional team and to establish and maintain effective working relationships with employees, management and external associates.
  • Excellent communication skills both oral and written.
  • Strong organizational skills and the ability to work effectively in a high paced, fast changing environment. Results-oriented.
  • Proven ability to be discreet and manage confidentiality.
  • Excellent customer service skills with a proactive, problem solving approach. Ability to function professionally and pleasantly during periods of high stress.
  • Pro-active approach to providing support and adding value.
  • Demonstrates initiative and the ability to make thoughtful and timely decisions.
  • Ability to exercise professionalism, sound judgement and discretion when handling issues of a difficult sensitive or confidential nature.
  • Excellent oral and written communication skills. Strong attention to detail.
  • Experience coordinating domestic and international travel arrangements in multiple time- zones.
  • Proficiency with MS Office.

The base salary range displayed on each job posting reflects the minimum and maximum target for new hire salaries for the position in the location for which the job is posted and does not include bonus, equity, or benefits. Within the range, individual pay is determined by a variety of factors and the salary offered may vary depending on the successful candidate’s location and qualifications (including, but not limited to, job-related knowledge, education, training, skills, and experience).
