Citadel Fence is a dynamic and rapidly expanding fence contractor dedicated to becoming the leading fence installation company in Atlantic Canada. We are excited to invite a Scheduler to join our growing team.
Citadel Fence provides their clients with privacy and protection through the installation of chain-link, ornamental, wood, and vinyl fences. Understanding that clients may have unique needs, Citadel collaborates with customers, industry partners and experienced professionals to provide the right product in every situation. As a Scheduler at Citadel Fence, you will play a pivotal role in ensuring smooth operations by coordinating installation schedules, maintaining effective communication with customers and crews, and supporting efficient resource management. The successful candidate will be customer focused, highly organized, professional and take great pride in their work.
Responsibilities:

Plan and organize fence installation schedules, ensuring efficient use of crews and resources.

Communicate changes or updates in schedules to all relevant parties promptly.

Answer customer inquiries about installation timelines, project details, and any pre-installation requirements.

Resolve customer concerns or complaints professionally and escalate complex issues to management if necessary.

Act as the primary point of contact for installation crews, relaying schedule changes or updates.
-
Use scheduling software or tools to manage timelines and crew assignments effectively.
-
Solicit feedback from crews and customers to identify opportunities for enhanced service delivery.
-
Analyze and improve scheduling processes to minimize downtime or inefficiencies.
-
Confirm that site locations are ready for crews, including any required prep work (info-ex locates).
-
Prepare daily or weekly reports on upcoming installations and status updates for management.
-
Maintain accurate records of scheduled installations, cancellations, and customer communications.
-
Work closely with installation Foreman to monitor crew availability and ensure adequate staffing for scheduled projects.

Provide regular updates to customers regarding scheduling, delays, or rescheduled appointments.

Coordinate schedules to accommodate weather conditions and any customer or crew adjustments.
Qualifications:

High school diploma or equivalent; college education
-
Familiarity with fencing products and construction terminology is a plus.

Proficient computer skills, including experience with customer relationship management (CRM) software and MS Office Suite.
