Reporting to: Maintenance Support Supervisor

Location: Kitimat, British Columbia

About the Role

As the Maintenance Track Timekeeper, the primary objective of the Track Timekeeper is to collect and enter shift details and time charges to Maintenance work orders for Internal Maintenance Technicians. To ensure end-to-end process in Track is successful, support and implement improvements. Support with any implementation and improvement initiatives.

Ensure timely and accurate allocations and support Track Authorizers with the end-to-end process.

The Timekeeper is responsible for the overall payroll entry for the Hourly LNGC Staff within Maintenance, Construction and Turnaround. The Track Timekeeper will work collaboratively within a team of two (2) to support the ~ 50 hourly staff plus ~120 contractors within the Department. The Track Timekeeper team also supports the department for other miscellaneous activities including administrative assignments.

This role is a key enabler to support LNGC’s through the identification of opportunities, problems and implement solutions while collaborating with site stakeholders, including the Leadership Team and Project Controls team.

To succeed with us in the Maintenance Track Timekeeper**, we need your enthusiasm to:**

  • Collects and enters shift details into appropriate systems

    • Process daily labor hours and material/equipment usage into the Track software
    • Assist and work closely with client Track Focals and Track Authorizers to request and resolve exceptions
    • Allocate, reconcile and accept daily in Track
  • Daily data management in the Track software can include but not be limited to

    • Maintaining personnel data, work schedules and skill set up
    • Maintaining equipment changes
    • General monitoring of labor, equipment and material system data to ensure daily processing of charges is not interrupted
  • Daily data management of billing information including purchase orders, work orders, operations and approver codes

    • Work with Maintenance Team Leads and other internal employees to ensure correct coding is being used for the work being done
    • Look up coding in reference files such as work order files, pdf purchase orders and reports generated from Track
  • Interface with multiple levels of project leadership, site employees as needed and client interface regarding Track cost tracking

  • Thoroughly document reconciliation between the shift details and client time/attendance system

  • Comply with client driven deadlines

You will use your expertise to:

  • Work within precise limits and high standards of accuracy

  • Strong Excel experience and proficient in all other Microsoft Office software

  • Understand contract between vendor and client, understand union agreement

  • Knowledge of employee compensation terms

  • Accurately perform high volume data input/data entry daily

  • Set up new hires with skill and pay formulas

  • Ensure Internal Staff are in Track under the correct company, work with security to correct

  • Assist with work order and purchase order issues

  • Report outstanding authorizations weekly to approvers and supervisors (weekly)

  • Send out status reports to vendors on outstanding allocations (weekly)

  • Maintain master data clean up, such as inactive employees, pay formulas, schedules, agreements, skills and associated work centers etc.

  • Assist vendors with reconciliation to ERS documents

  • Process voids in Track, working with AP to credit service entries

  • Assign ‘other costs’ to contractors for meals, per diem, etc.

  • Enter holiday schedules per company (yearly)

  • Set up/maintain/troubleshoot gate to gate transit time in Track

  • Approve/Reject non-bill items assigned to Track Admin area in Track and reject missing area ID entries

  • Maintain skill class for each skill

  • Run not allocated/accepted labour and material reports and send to vendors (weekly)

To be successful, you will have:

  • Experience in payroll is an asset

  • Strong organizational effectiveness skills

  • Excellent computer skills

  • Excellent diagnostic and problem-solving skills

  • Strong interpersonal skills as this role interfaces regularly with many teams

  • Can manage evolving priorities and deliver on multiple commitments in a timely manner

  • Self-motivated and driven

  • Experience in SAP Blueprint is an asset

This role requires that you:

  • Be legally entitled to work in Canada (i.e., by way of Canadian citizenship, permanent residency, or valid work permit)
  • Live in the beautiful District of Stikine (Kitimat/Terrace).   • Base Hours: 40hrs per week/5/2.
  • Have a Valid Driver’s license.
