What can you expect from this position?

The Executive Assistant to the Chief Legal Officer (CLO) provides high level administrative, operational, and strategic support to the CLO and the Legal Leadership Team. This role requires exceptional judgment, discretion, and organizational skills, as well as the ability to manage competing priorities in a confidential, fast paced, and highly regulated environment. The Executive Assistant acts as a trusted partner, enabling the CLO to focus on legal strategy, governance, risk, and enterprise priorities.

As an Executive Assistant to the CLO, you will:

  • Proactively and independently manage the CLO’s calendar, triaging communications, resolving conflicts, preparing executives for priority meetings, and acting as the primary point of contact with internal and external partners.
  • Maintain the CLO’s action-tracking system, follow up to ensure timely completion, coordinate participation with external committees/working groups/associations, and confidentially manage email correspondence.
  • Arrange business travel for the CLO, including booking flights and accommodations, preparing itineraries, managing conference registrations, and supporting related documentation or presentations for Committee, Board, and Executive Team meetings.
  • Provide operational support to the legal department by tracking priorities, deadlines, deliverables, invoices (via Brightflag), and continuing education requirements; liaise with leaders regarding due dates; and support onboarding of external advisors and consultants.
  • Prepare, draft, edit, format, redline, proofread, and review a wide range of documents including legal documents, correspondence, reports, agendas, presentations, and briefing materials for executive leadership, the Board, and external stakeholders using Microsoft Office applications.
  • Maintain secure electronic and physical filing systems using i‑Share, SharePoint, OneDrive, and other retention systems, ensuring compliance with internal policies, privacy obligations, and information governance standards.
  • Provide IT coordination for the CLO, including setup and troubleshooting of systems and devices, and organize departmental offsites, quarterly meetings, and hybrid meetings using Microsoft Teams and related AV equipment.
  • Support financial planning for the legal function by tracking budgets, processing requisitions and invoices, preparing expense reports, reviewing Leadership Team expenses, using Hyperion to analyze/report expenditures, and reconciling bi‑weekly Kronos submissions for CLO sign‑off.
  • Liaise with internal executives, external counsel, regulators, and stakeholders on behalf of the CLO; provide back-up to Management Assistants and CEO office support as required; foster strong working relationships across the organization; and contribute to continuous improvement of administrative, governance, and legal operational procedures.
  • Support special projects, strategic initiatives, ad hoc assignments, and research led by the CLO, ensuring quality control of all outgoing materials; perform other duties as assigned.
  • Support implementation and use of legal tools (e.g., e-billing, CLM, matter intake systems).
  • Identify opportunities to improve administrative and operational efficiency.

This is the role for you, if you have:

  • 10 years of progressive senior administrative experience, supporting a General Counsel or Chief Legal Officer in a legal executive environment.
  • Demonstrated ability to draft, develop, and edit complex legal, governance, and policy documents.
  • Experience with financial planning and budget management is preferred.
  • Exceptional attention to detail and strong time‑management, organizational, analytical, and problem‑solving skills, including the ability to manage competing priorities, maintain accuracy, and handle confidential information with sound judgment, tact, and professionalism.
  • Outstanding communication and interpersonal skills, including excellent written and verbal communication, a service‑oriented mindset, a “can‑do” attitude, and the ability to establish credibility as a trusted advisor through discretion and reliability.
  • High technical proficiency, including intermediate–advanced skills in Microsoft Office (Word, Excel, PowerPoint), comfort with IT systems, and the ability to learn new applications quickly.
  • A proven track record of working independently in a fast‑paced, dynamic environment, staying calm amid change and ambiguity, and consistently delivering high‑quality support with accountability, adaptability, and professionalism.
  • Post‑secondary education in business administration, legal administration, or a related field (an asset).
  • Ability to obtain and retain a Transportation Security Clearance.
