About the role

Edmonton Catholic School Division is seeking a highly skilled and proactive Facilitator, HR Operations to provide executive-level administrative and project support to the Superintendent of Human Resource Services and the Manager of Employee Relations & Employee Health Services. The Facilitator acts as a trusted liaison, managing complex scheduling, preparing high-quality communications, and supporting confidential employee relations processes. This role is central to coordinating priorities, managing executive communications, and supporting strategic HR initiatives.

Responsibilities:

Executive Coordination

  • Manage and optimize calendars for HR leadership, including scheduling meetings and prioritizing commitments.
  • Coordinate and draft confidential documentation, contracts, and correspondence, ensuring compliance with organizational and legal standards.
  • Coordinate meetings, book meeting facilities, and prepare meeting agendas, briefings, and packages; attend meetings and record minutes as needed.
  • Arrange travel, registrations, and logistics for internal and external events; support coordinating and planning special events.
  • Act as the primary point of contact for internal and external communications.

Communications and Projects

  • Draft and design professional presentations, reports, and dashboards using Microsoft Office, Adobe, Canva, and other platforms.
  • Coordinate a variety of special projects within the department, including employee engagement and the department growth plan.
  • Maintain complex spreadsheets and utilize HR systems for data tracking and reporting.
  • Coordinate timelines, deliverables, and documentation for division-wide projects.

Employee Relations Support

  • Provide comprehensive administrative and logistical support for employee relations processes, including grievances, investigations, and negotiations. This includes scheduling meetings, preparing and distributing documentation, and tracking key timelines and deliverables.
  • Maintain confidential employee relations and labour relations files, ensuring accuracy and compliance with organizational and legal standards.
  • Support the development and finalization of collective agreements by drafting revisions, preparing and distributing finalized documents, and updating internal systems accordingly.
  • Prepare and manage documentation to support grievances, collective bargaining, and other employee relations matters, ensuring timely follow-up on action items resulting from investigations, union discussions, and related processes.

Qualifications:

  • Diploma in Office Administration or related field and at least 5 years of experience in executive support, project coordination, or operations.
  • Experience providing high-level executive and leadership support, including managing complex calendars.
  • Experience in professional report writing and document production
  • Strong understanding of collective agreements, HR practices, principles, policies, and procedures. and privacy legislation, including the Protection of Privacy Act (POPA), and the Access to Information Act (ATIA).
  • Working knowledge of electronic Human Resource Information Management systems (HRMI) and record management principles.
  • General knowledge of the Division’s administrative procedures, operations, and business, along with an understanding of the Division’s mission and vision in a faith-based environment.

Skills & Competencies:

  • Demonstrates advanced proficiency in Microsoft Office, Google Workspace, Adobe Pro, Canva, and other digital tools, with strong skills in presentation design, report writing, and graphic creation.
  • Excels in calendar management, communication, and organization, while maintaining discretion and professionalism in all interactions.
  • Adaptability to changing priorities, timelines, and organizational needs.
  • Proactive problem-solving and a commitment to service excellence.
  • Ability to build effective relationships, uphold ethical standards, and support continuous improvement across diverse tasks and priorities.
