Job Description:

Position Purpose summary

The Finance Manager reports directly to the Director of Administration. The Finance Manager is responsible to assist and provide support to the Director of Administration in the area of accounting and finance. This includes overseeing the accounting staff and day to day accounting and finance functions, ensuring that all processes meet or exceed The Salvation Army’s standards and reporting requirements.

Accountabilities:

Financial and Accounting:

  • Oversee day-today accounting processing including accounts, payable, cash handling, deposits, and charitable receipt processing.
  • Process accounts receivables in conjunction with centralized accounting center
  • Follow up with accounts outstanding accounts receivable
  • Ensure accuracy of the general ledger
  • Oversee and reconcile Money Management accounts
  • Manage and prepare annual funding contract preparations
  • Review budget with Director of Administration and adjust journal entries
  • Coordinate with department managers to determine financial information for funding contracts
  • Prepare monthly financial variance reports for department managers
  • Assist Director of Administration with management of contracts and leases
  • Assist Director of Administration with the development of policies and procedures relating to finance
  • Create and maintain an up-to-date position manual
  • Prepare purchase requisitions in accordance with Finance procedures
  • Attend Management Team meetings, presents finance issues, answers questions, and prepares reports as required
  • Attend and participate in meetings/events/committees (internal and external) as required by the Director of Administration
  • Conduct monthly meetings with Finance
  • Perform other related duties as assigned

Human Resources:

  • Recruit, train, evaluate and discipline direct accounting staff in consultation with the Director of Administration and Human Relations

  • Ensure department is fully staffed with qualified accounting staff and staff have the resources to do their jobs

  • Monitor direct reports working hours and ensure time and attendance of direct reports are entered in a timely manner

  • Maintain appropriate paperwork to support employee relations responsibilities

  • Conduct regular performance appraisals and learning plans of direct reports and addressing performance issues when arises in consultation of the Director of Administration.

  • Ensure accounting staff complete the mandatory training and e-learnings within the set time frame and constantly review the skills and competencies of staff to adequately meet the requirements of the job.

  • Acts as a responsible team member and participate actively in supervisions

CRITICAL RELATIONSHIP MANAGEMENT

Internal:

  • The Salvation Army Western Regional Accounting Centre
  • Director of Administration, Department staff, Department Managers and Executive Management Team

External:

  • Government of Alberta (AB Works)
  • Alberta Health Services
  • Other Funders or Donors

MANAGERIAL Leadership RESPONSIBILITY:

  • This position reports directly to the Director of Administration

  • This position has three (3) direct reports – Accounting Technicians

FINANCIAL AND MATERIALS MANAGEMENT

  • Confidential financial files, reports, budgets and staff payroll

  • Manage petty cash and safe

  • Vendors and Suppliers Listing, Quotation and Bidding offers

WORKING CONDITIONS:

  • Working environment is typically in the office in generally agreeable conditions.

  • Some travel between sites within the city is required.

  • The performance of the job requires attentive listening, frequent attention to computer/word processing, attention to detail, and working with confidential information.

  • The incumbent’s work environment is typically at work sites within residential settings, and may experience the following disagreeable conditions: therefore, will need to follow or use universal precautions:

  • Dealing with angry and abusive people, verbal abuse

  • Exposure to bodily fluids, bodily waste, and infectious diseases

  • Exposure to drugs, alcohol, and solvents

  • Physical attacks by others

  • Exposure to toxic chemicals

  • Sharp objects (i.e., needle sticks, knives, and weapons)

  • Other dangerous situations

  • Immunization for Hepatitis B and vaccination against Tuberculosis

The above responsibilities must be discharged in accordance with The Salvation Army’s Mission Statement, in a professional manner, exemplifying Christian standards of conduct.

Education and Experience Qualifications:

Education, Qualifications and Certifications:

  • Degree/Diploma/Certificate in business Administration, Accounting or related field.

  • Must have valid Drivers’ License and clean Drivers’ Abstract

Experience and Skilled Knowledge Requirements:

  • Minimum 2 – 3 years’ managerial experience in accounting field

  • Experience with accounting software and payroll a great asset.

  • Experience working within a social services environment is considered an asset

  • Respect and understanding of The Salvation Army - its mission, culture, and values

Skills and Capabilities:

  • Must be highly proficient in MS Word, Excel, MS Publisher, Power Point, email

  • Must have excellent oral and written English communication and interpersonal skills

  • Must be able to work in a fast paced environment with strong prioritizing and organizing skills

  • Must be adaptable, able to take direction, multi-task and resourceful

  • Detail oriented, highly focused on accuracy, have great analytical skill and integrity.

  • Ability to create a positive work culture of trust and teamwork

  • Innovative and open to new ideas.

This job description will be reviewed by the employee and supervisor on a regular basis. Amendments can be made at any time at the discretion of the employer.

This is a temporary fixed term position to cover maternity leave.

Weekly scheduled hours : 40 hours

Compensation:

The target hiring range for this position is $57,399.98 to $71,749.97 with a maximum of $86,099.96.

Placement in the salary range will be based on factors such as market conditions, internal equity, and candidate experience, skills, and qualifications relevant to the role.
