Your Opportunity

The Associate Director, Software & Enterprise Systems exists to ensure that Okanagan College’s Enterprise Resource Planning (ERP) system, enterprise applications portfolio, enterprise data environment, Artificial Intelligence (AI) initiatives, and digital platforms effectively enable institutional strategy, operational excellence, and a modern employee experience. The role ensures mission-critical systems — including ERP (Finance, HR, Student, and Administrative modules) — are secure, sustainable, integrated, data-informed, and aligned with public sector accountability and governance requirements.

The position provides leadership for ERP evolution, enterprise systems modernization, AI adoption, automation strategy, and long-term digital transformation planning. The role advances employee efficiencies, enterprise data maturity, responsible AI governance, and sector-wide collaboration.

Functions and Duties

Strategic Goals

  • Ensure the stability, optimization, and long-term evolution of the College’s ERP and enterprise systems.
  • Develop and execute a multi-year ERP modernization and lifecycle management roadmap.
  • Establish and mature an institutional AI strategy focused on productivity, service improvement, and responsible governance.
  • Improve employee efficiencies through ERP optimization, employee experience projects, workflow automation, and AI-enabled process redesign.
  • Strengthen enterprise data governance, analytics capability, and reporting integrity.
  • Leverage shared services and sector-wide collaboration to enhance system sustainability and cost efficiency.

Accountability and Authority

  • Exercises delegated authority from the CIO for ERP, enterprise systems, and AI governance prioritization.
  • Accountable for enterprise data standards, AI governance frameworks, reporting accuracy, and system integrity.
  • Develops institutional policies and standards related to ERP, enterprise systems, automation, AI usage, and data governance.
  • Manages significant operating and capital budgets and enterprise SaaS/vendor contracts.

#Key Responsibilities

1.ERPEvolution & Enterprise Systems Leadership

  • Lead ERP strategy, lifecycle management, governance, and long-term modernization planning.
  • Oversee ERP module enhancements, integrations, workflow redesign, cloud strategy considerations, and future ERP transformation or replacement initiatives.
  • Ensure alignment with enterprise architecture, cybersecurity standards, privacy legislation, and public sector regulations.
  • Provide executive reporting on ERP performance, modernization progress, and realized business value.

2. Artificial Intelligence & Digital Innovation

  • Advance the institutional AI enablement strategy
  • Identify and deploy AI-enabled solutions to improve operational efficiency, service delivery, and decision-support capabilities.
  • Promote experimentation using AI-assisted development tools and low-code/no-code rapid prototyping (‘vibe coding’) approaches.
  • Collaborate with sector partners on AI best practices, shared innovation initiatives, and emerging technology standards.

3. Enterprise Data & Reporting Leadership

  • Establish enterprise data governance frameworks and stewardship models.
  • Ensure institutional reporting integrity and analytics modernization across ERP and integrated systems.
  • Enable data-informed decision-making across academic and administrative operations.

4. Project & Portfolio Management

  • Oversee full lifecycle of enterprise initiatives including business cases, charters, budgets, risk plans, and quality assurance.
  • Maintain project management methodologies, governance standards, and performance metrics.
  • Monitor timelines, budgets, scope, and benefits realization across concurrent initiatives.

5. Sector Leadership, Shared Services & Partnerships

  • Represent Okanagan College on provincial and sector-wide ERP, AI, enterprise systems, and data governance committees.
  • Develop and maintain strategic partnerships with post-secondary institutions, provincial ministries, shared services organizations, and public sector agencies.
  • Identify and advance shared services, collaborative procurement, and joint system evolution opportunities.
  • Participate in sector-wide software modernization and AI innovation initiatives.
  • Build strategic vendor partnerships to influence product roadmaps and ensure alignment with institutional and sector needs.

6. Leadership, Hiring & Labour Relations

  • Recruit, hire, orient, and develop regular and non-regular staff including ERP specialists, analysts, programmers, project managers, and AI/digital innovation professionals.
  • Set performance expectations, conduct evaluations, and provide coaching and mentoring.
  • Address performance or behavioural concerns and administer corrective actions in consultation with Human Resources.
  • Participate in grievance procedures and ensure compliance with collective agreements.
  • Foster a collaborative, innovative, and accountable team culture.

7. Financial & Vendor Management

  • Develop and manage budgets for enterprise systems and key initiatives.

  • Lead procurement processes aligned with public sector regulations.

  • Negotiate and manage vendor contracts, SaaS licensing agreements, and service levels.

Education and Experience

  • Bachelor’s degree in Information Systems, Business Administration, Public Administration, or related field. Professional certifications such as PMP, CBAP, ITIL, or equivalent are considered assets.

  • Minimum six (6) years of progressive experience in ERP management, enterprise systems leadership, AI enablement, digital transformation, or public sector technology environments, including supervisory experience within a unionized setting.

  • Experience leading AI adoption and automation initiatives.

  • Strong financial management and vendor negotiation capability.

  • Ability to operate autonomously within a complex public sector environment.

  • Excellent stakeholder engagement and partnership-building skills.
