Department Summary

St. Michael's and Providence Foundation (SMPF) is the exclusive fundraising organization to generate and manage philanthropic funds for St. Michael’s Hospital and Providence Healthcare, within Unity Health Toronto. Position Summary

The Finance & Gift Processing Officer is a key member of the Finance & Administration team responsible for delivering accurate, timely, and well-controlled financial operations. The position performs a broad range of accounting and operational finance functions, including month-end accounting, financial reconciliations, accounts payable, grant disbursements, and gift processing support, while contributing to the integrity of the Foundation's financial records and donor revenue.

Reporting to the Associate Director, Finance, the role prepares complex accounting entries and reconciliations, supports financial reporting and the annual audit, collaborates with internal stakeholders to resolve financial and transactional issues, and contributes to continuous process improvements across finance operations. While working closely with the Gift Processing & Finance Analyst, the Finance & Gift Processing Officer also provides expertise and backup support for gift processing activities to ensure operational continuity.

Responsibilities & Activities

Financial Accounting & Month End Reporting

Prepare and maintain month-end working papers, reconciliations and supporting schedules for assigned balance sheet and income statement accounts. Prepare and post journal entries including accruals, deferred revenue, prepaid expenses, payroll allocations, grant activity and other required month-end adjustments. Perform detailed account reconciliations and investigate variances, resolving discrepancies in a timely manner. Assist in the preparation of monthly, quarterly and year-end financial reporting packages. Support the annual external audit by preparing audit schedules, working papers and responding to auditor requests. Ensure accounting records comply with organizational policies, accounting standards and internal controls.

Financial Operations

Administer accounts payable processing, ensuring invoices, approvals and payments are accurate and completed within established service standards. Process grant payments and maintain supporting documentation and reconciliations. Identify, investigate and resolve complex reconciliation issues across multiple financial and donor systems. Maintain accurate audit trails and documentation supporting all financial transactions.

Gift Processing & Revenue Administration

Review, validate and commit gift batches while ensuring appropriate coding, fund designations and supporting documentation. Process direct mail gifts, recurring donations, pledge payments, payroll deductions and other non-routine transactions. Monitor and reconcile donation activity across Raiser’s Edge, Financial Edge, BBMS, IATS, Stripe, Fundraise Up and other fundraising platforms. Coordinate cheque deposits and banking activities while maintaining appropriate segregation of duties. Prepare pledge reminders and assist with donor account maintenance, including recurring payment updates. Support lottery administration, including AGCO reporting and related financial reconciliations.

Other

Assist with testing and implementation of new financial systems, donor platforms and process enhancements. Monitor data integrity between donor and financial systems, identifying trends, root causes and opportunities for improvement. Develop and maintain procedure manuals and standard operating procedures for assigned responsibilities. Support compliance with CRA requirements, Foundation policies, audit recommendations and financial control standards. Coordinate workflow and provide backup coverage across finance functions to ensure business continuity. Respond to internal and external inquiries related to financial transactions, donor payments and reconciliations. Participate in departmental projects and other initiatives that support Finance & Administration objectives.

Qualifications And Experience

Post-secondary diploma or degree in accounting, finance, business administration, or a related field. 2–4 years of relevant experience in finance, accounts payable, or gift/donation processing, ideally within a not-for-profit or healthcare environment. Working knowledge of donor database and financial systems (e.g., Raiser's Edge/Financial Edge, Funraisin, Fundraise Up, IATS, BBMS) is an asset. Strong attention to detail and accuracy in high-volume transaction processing. Solid understanding of basic accounting principles (accruals, reconciliations, journal entries). Ability to manage multiple deadlines and prioritize competing demands. Strong organizational and time-management skills. Good written and verbal communication skills for donor and internal stakeholder interactions. Proficiency in Microsoft Excel and other Office applications.
