About the role

The Executive Coordinator (EC) provides essential administrative and operational support to the Chief Medical Officer (CMO) and the Medical Affairs (MA) senior leadership team, ensuring the smooth functioning of the Office of the CMO. This role manages complex calendars, schedules high‑priority meetings, coordinates travel, and oversees related logistics. The EC anticipates needs, adapts to shifting priorities, and ensures the CMO is fully prepared with briefing materials, reports, and documentation for all engagements. The role also drafts, proofreads, and formats correspondence, presentations, and documents while independently managing inquiries and coordinating key touchpoints with organizational and provincial partners. As the central hub for the CMO office, the EC serves as the first point of contact for the executive leadership team (ELT), physicians, and medical and operational leaders, as well as external partners. Responsibilities include managing email flow, prioritizing communications, preparing briefings, and maintaining organized records. The role supports cross‑organizational coordination, ensuring timely information exchange across teams, and may provide guidance to other administrative staff to maintain consistent, high‑quality support. The EC also maintains project schedules, tracks progress, and supports operational and strategic initiatives led by the CMO’s office. This includes managing shared resources, templates, and project processes. The role enhances workflow by optimizing office procedures, overseeing meeting logistics and events, coordinating with external stakeholders, and maintaining digital systems. Additionally, the EC supports onboarding activities and provides supervision to associated administrative team members to ensure smooth transitions and administrative excellence. The position is out of scope.

Required Qualifications:

Administrative Diploma with a minimum of 3-5 years of experience providing executive support.

Additional Required Qualifications:

Effectively manages multiple tasks, deadlines, and competing demands while using structured systems to support smooth executive workflows. Quickly adjusts to shifting priorities and last‑minute changes, remaining calm, flexible, and solutions‑focused in fast‑paced environments. Proactively identifies issues, analyzes root causes, and implements practical solutions that enhance executive decision‑making. Communicates clearly and professionally, with strong business writing abilities for briefings, correspondence, and executive‑level documents. Makes informed decisions, handles sensitive or incomplete information appropriately, and maintains the highest level of confidentiality and professionalism. Builds trust, collaborates effectively across all levels of the organization, and navigates competing interests with tact and diplomacy. Tracks multi‑step initiatives, monitors deadlines, identifies risks, and advances projects without direct authority. Highly skilled in Microsoft 365 and digital productivity tools, with strong proofreading abilities and exceptional attention to accuracy.

Preferred Qualifications:

Bachelor’s degree in Business Administration, Communications, Public Administration, or related field. Project Management certification (e.g., CAPM, PMP-lite or microcredentials) Change management certification (e.g., Prosci ADKAR) Experience in project coordination, strategic planning support, or office/operations management. Previous experience supervising or mentoring administrative staff.
