POSITION SUMMARY
We are looking for a Medical Office Assistant (MOA) who is detail-oriented, tech-savvy, and ready to contribute their energy to a modern healthcare mission. This role is ideal for an entrepreneur-at-heart and expert prioritizer who enjoys creating operational efficiencies and wants to play a pivotal role in the development of our growing virtual clinic. The MOA role will be responsible for performing the day-to-day administrative functions of our virtual clinic amongst peers, alongside the clinical and technical teams. This includes handling client inquiries via phone and email, managing medical documentation, maintaining records, and supporting care providers.
RESPONSIBILITIES
Client Care:
- Handle client inquiries, requests, and escalations via email and phone.
- Liaise from CBT and clinical care providers to clients about matters concerning their care.
- Review client data and help guide clients through their treatment journey.
Scheduling and Record Keeping:

Manage appointment scheduling, ensuring clients have timely access to services.

Maintain and organize client records across our internal systems and EMR to ensure accurate and up-to-date information.
Clinical Support:
- Perform administrative tasks assigned by care providers, including CBT Care Providers and Nurse Practitioners, to ensure seamless care delivery.
Medical Documentation:
- Create clinical summaries (for diagnoses) and medication summaries (for prescriptions) for client hand-offs.
- Facilitate the secure exchange of medical information between healthcare professionals and/or clients to ensure continuity of care.
Systematization:
- Identify repetitive tasks and work towards streamlining systems, creating automations, and eliminating inefficiencies.
- Leverage available tools (including AI) to make work more efficient and repeatable.
- Support developing team knowledge through documentation and peer-education.
Metrics & Reporting:

Review data & reports to identify gaps, opportunities, and proactively solve bottlenecks.

Contribute qualitative data to central trackers to develop & augment department insights.
SKILLS & QUALIFICATIONS

2 years+ experience as a Medical Office Assistant.

Track record of consistent attendance and being a reliable team player.

Familiarity with G Suite and Accuro EMR preferred.

Familiarity with medical terminology and general office procedures.

Strong written and verbal communication abilities, with an empathetic and professional approach in all client interactions.

Comfortable managing and organizing multiple tasks in a fast-paced environment, with the ability to think independently and prioritize effectively.

Ability to build rapport with clients and work effectively both independently and within a team.

Maintains strict confidentiality, is open to feedback, and demonstrates a proactive approach to problem-solving.
COMPENSATION & WORKING CONDITIONS

$25.00-$30.00 per hour

Monday-Friday, 8:30 AM - 4:30 PM, 8-hour shifts
