Purpose of the Role

The Executive Assistant role is a newly expanded position designed to provide high-level strategic and administrative support to senior leadership while also ensuring efficient coordination across corporate operations. This role plays a key part in enabling organizational effectiveness, communication flow, and execution excellence across the business.

How You'll Make an Impact

  • Executive & Leadership Support
  • Provide comprehensive administrative and strategic support to 3–4 members of the Corporate Leadership Team, including calendar management, scheduling, and meeting coordination.
  • Prepare, proofread, and manage executive correspondence, reports, and presentations with a high degree of professionalism and attention to detail.
  • Support leadership meetings through agenda preparation, minute-taking, and tracking of follow-ups and action items.
  • Coordinate complex travel arrangements, logistics, and itineraries for senior leadership.
  • Handle confidential information with discretion, acting as a trusted liaison between executives and internal or external partners.
  • Corporate Operations Coordination
  • Collaborate with corporate departments to support day-to-day operations, ensuring smooth communication and workflow across teams.
  • Oversee key office logistics including vendor coordination, facilities requests, and meeting support, ensuring a productive and professional work environment.
  • Assist in planning and executing corporate events, leadership sessions, and team engagements.
  • Support internal communication initiatives by helping prepare announcements, updates, and materials on behalf of senior leadership.
  • Act as a central coordination point for company-wide administrative needs, balancing strategic priorities with operational execution.

What You Bring

  • Associate degree or equivalent professional experience preferred.
  • 5+ years of experience supporting senior leadership or executive teams in a fast-paced, corporate environment.
  • Exceptional organizational, multitasking, and time-management skills with the ability to anticipate needs and stay ahead of priorities.
  • Strong written and verbal communication skills with proven attention to detail.
  • Demonstrated ability to exercise discretion and handle confidential matters with integrity.
  • Advanced proficiency in Microsoft Office Suite or Google Workspace; experience with project management and scheduling tools is an asset.
  • A proactive, resourceful, and adaptable mindset with a focus on continuous improvement and delivering high-quality outcomes.

AI Integration

This role may leverage AI tools to enhance productivity, including drafting correspondence, summarizing meetings, reviewing reports, assisting with expense management, and managing tasks or reminders.
