Your role:
In this role, you will support partners and staff in delivering exceptional client service by managing documents, communications, and workflow coordination. You’ll play a key role in ensuring the smooth and efficient operation of the firm’s day-to-day administrative processes.
- Assemble financial documents, reports, and correspondence in line with firm quality standards
- Coordinate electronic receipt, filing, and notification of client materials to the appropriate staff
- Develop and refine processes for prioritizing and managing workload
- Track deadlines, monitor progress, and help meet deliverable timelines
- Schedule meetings, coordinate appointments, and manage calendars
- Maintain and update the client database and documentation
- Respond professionally to client and staff inquiries by phone, email, or in person
- Collaborate with team members to enhance efficiencies, adopt best practices, and leverage new technologies
What you bring to the table:
- Proven administrative or office assistant experience, ideally in a professional services environment
- Advanced written and verbal communication skills
- Strong proficiency in MS Office (Word, Excel, Outlook)
- Exceptional planning, prioritization, and time management abilities
- Ability to multitask effectively in a dynamic, fast-paced team setting
- Attention to detail with strong proofreading and formatting skills
- Analytical and reasoning skills to identify and resolve issues efficiently

Monday to Friday 8:30am to 5:00pm with overtime hours during busy season
Salary range: $ 47,500 - $ 50,000
