Location - This role is hybrid, however will require in-person attendance during the first 6 months. Work primarily takes place at North Campus Edmonton.

The Department of Psychiatry at the University of Alberta is a leader in mental health innovation, integrating groundbreaking research with excellence in medical education and clinical care. This position provides support to the Department Chair and Academic Department manger in the execution of activities related to the Academic Medicine and Health Services Program (AMHSP). The AMHSP Coordinator is responsible for carrying out the day-to-day human resource activities for academic recruitment for the Department of Psychiatry.

Academic Recruitment

  • Leads end-to-end recruitment and onboarding for AMHSP academic physicians, including position case development, job postings, workflows, and coordination with the Department Chair, Faculty Relations, and AHS
  • Prepares all required recruitment and appointment documentation, correspondence, interview materials, and travel arrangements for candidate visits
  • Provides high-level support to candidates and committees throughout recruitment, including onboarding, relocation guidance, and HR-related consultation during search and selection meetings
  • Oversees faculty promotion, probationary, and tenure review materials, while managing related communications and operational email support across the portfolio

Communications

  • Manages AMHSP special projects, events, and priority initiatives, ensuring leadership is informed of key developments
  • Develops communication plans and materials in collaboration with the team, including website content, marketing emails, invitations, and event communications
  • Prepares communication packages, slide decks, and program materials for internal and external audiences
  • Supports communications and marketing strategies for targeted initiatives, programs, and stakeholder groups

Program Operations

  • Manages strategic priorities and oversees ongoing, annual, and one-time projects to support operational efficiency and departmental goals

  • Researches, prioritizes, and coordinates responses to sensitive or confidential issues on behalf of leadership

  • Maintains operational infrastructure, including shared calendars, drives, organizational charts, staffing lists, and vacancy tracking

  • Coordinates information flow across units and tracks all term, temporary, and AMHSP appointments in collaboration with HR and Finance

  • Post Secondary degree preferable, Human Resources Management Diploma or equivalent.

  • 3-5 years of administrative experience within a clinical academic department

  • 2-5 years of general human resources duties within an AMHSP environment

  • Experience using Peoplesoft applications preferred

  • Excellent communication (oral and written)

  • Excellent interpersonal, organization and time management, accuracy and attention to detail,

  • Demonstrated ability to perform independently or in team environment; requires critical thinking
