As part of a multidisciplinary team, this position provides reception and administrative support to staff and programs throughout the organization. This involves greeting and checking-in clients, answering and triaging calls, responding to inquiries, booking appointments, providing program information, file management using the EMR system, data entry and scheduling. This position requires providing services to a range of clients, including people who use drugs, people with mental health concerns, and other marginalized populations facing significant health barriers. Working within the larger Service Administration & Quality (SAQ) team, this position also provides back-up administrative support for the clinic and other centre programs, which could include working at other SRCHC locations.

As first point of contact for the centre, this position requires a high degree of professionalism, the ability to accurately work in a fast-paced environment, exhibit a strong, dynamic work ethic and the ability to effectively develop solutions as a critical thinker.

This position is expected to work onsite evenings and weekends as required.

Responsibilities:
Reception

  • Provides reception services for the Centre including communicating with service users, responding to general enquiries, arranging services for clients (e.g. TTC passes, taxi, referrals to other agencies), answering incoming telephone calls for all staff, directing calls and taking messages, and providing information to the public and other agencies regarding services
  • Makes appropriate referrals as required according to service needs
  • Provides backup coverage for Harm Reduction Supply and Naloxone Distribution
  • Maintains agency and service provider contact list within SRCHC catchment
  • Responsible for the opening and closing of the centre following procedures to ensure the security and safety of the building, staff, clients and guests
  • Recognizes escalating situations and follows established protocols to obtain assistance and apply de-escalating techniques

Clinical and Program Support and Administration

  • Provides administrative support for new referrals and intake of clients receiving allied support services within the Centre via the EMR, email, e-referrals, fax and phone
  • Intake and registration of new clients following established protocols
  • Provides support for open access services including checking-in and registration of clients
  • Provides first floor administrative support to programs and services including data entry, scanning, booking appointments, managing referrals, checking-in clients and ensuring client registration, demographic and health equity information is up to date
  • Provides administrative support for Centre programing as required
  • Works collectively to manage client waitlists for programs and services
  • Ensures client records and files are accurate and current
  • Enter and maintain provider EMR templates, orientation and group schedules, as well as meetings and room booking
  • Input encounter information for data collection purposes into Excel, EMR or other tracking system
  • Participates in all required meetings, huddles, trainings, and communicate program and service updates across applicable teams
  • Assist with team meetings i.e. maintain running agendas and minute taking

General Office Administration

  • Photocopy, fax, arrange courier services and other administrative tasks as required
  • Coordinates, orders and distributes office supplies
  • Opens, sorts and distributes mail internally and externally
  • Maintains general reference material and disseminates as needed
  • Oversees meeting room schedule and updates information board daily
  • Maintains bulletin boards, information table and pamphlet areas and maintains a neat waiting room
  • Support with supply organization, ordering and tracking
  • Ensure relevant Process Manual and workflows are followed, accurate and up-to-date
  • All other duties as required

Qualifications:

  • University and/or College education
  • Minimum 2 years’ experience as a receptionist or administrative assistant, in a clinical, social service related environment
  • Conflict prevention and de-escalation training an asset
  • Experience working with marginalized populations an asset
  • General knowledge of Harm Reduction philosophy of care an asset
  • Proficiency in the use of computer technology and various software applications including an Electronic Medical Record (EMR)
  • Advanced knowledge of Microsoft Office (Word, Power Point, Access, Excel)
  • Excellent verbal and written communication skills
  • Excellent interpersonal skills in dealing with the public
  • Ability to communicate in a second language an asset
  • Strong organizational skills
  • Ability to prioritize and multi-task with simultaneous attention to detail
  • Flexible, self-starter
  • Ability to assist with and help de-escalate conflicts, and confidence in asserting and maintaining strong boundaries
  • Respect for diversity, equity, anti-racism and accessibility with the ability to work collaboratively and positively with others
  • Ability to work effectively independently and as part of a multi-disciplinary team in a fast-paced environment
  • Police clearance documentation will be required for employment
  • Proof of double COVID-19 vaccination status will be required for employment
