The Centre for Drama, Theatre & Performance Studies is located in downtown Toronto, the perfect location to experience and participate in all kinds of performance. Wehold high standards for students in our broad and rich academic program, and throughout rigorous performance training. Our centre is in the process of moving into a newly designed facility in the Laidlaw Wing of University College.

In addition to the Helen Gardiner Phelan Playhouse, we will be moving into newly designed theatre and studio spaces that will enrich the creative and intellectual exploration of our students and faculty, all supported by our technical and production staff. With a combination of courses and practical streams, our centre emphasizes the integration of academic and practical work in our holistic approach to classical through contemporary theatre and performance.

Your Opportunity Reporting to the Department Manager, the Graduate Administrator is responsible for all administrative matters relating to graduate programs at the Centre for Drama, Theatre and Performance Studies, including admissions, registration and enrolment, graduate funding and scholarships, TAships, and the co-ordination of calendar materials and graduate committees. The incumbent will analyze current issues and problems and advise the Department Manager, Chair and Associate Chair, Graduate on appropriate actions.The incumbent will also be responsible for advising students on academic matters and referring them when appropriate.

Your Responsibilities Will Include

  • Advising students on academic and/or financial matters by providing options and consequences incorporating personal circumstances impacting academic success and an understanding of an individual's background
  • Collating and organizing data for various reports
  • Keeping well-informed on policies, rules, regulations and guidelines
  • Determining logistical details required for the execution of admissions processes
  • Reviewing and assessing admissions applications
  • Analyzing and making recommendations on award funding allocation
  • Coordinating meeting schedules, agendas, materials, action and follow-up items
  • Making informed referrals and supporting an individual in distress until referral contact is made.

Essential Qualifications

  • Bachelor degree or an acceptable equivalent combination of education and experience.
  • Minimum four years of recent and related experience administering the full cycle of academic graduate programs, including planning recruitment events, admissions, enrolment, advising students on available scholarships and awards, funding packages, and providing comprehensive support to faculty members such as organizing meetings and taking minutes to be distributed.
  • Strong knowledge and experience advising on University of Toronto, School of Graduate Studies, and Faculty of Arts and Science guidelines and procedures.
  • Demonstrated experience advising both graduate students and faculty within graduate academic programs on relevant academic guidelines and procedures.
  • Experience administering graduate admission processes, fee deferrals, course enrolment, timetabling, grades, and final oral examinations.
  • Experience with the Faculty of Arts and Science guidelines to generate departmental funding models, or equivalent processes.
  • Demonstrated experience and ability to calculate graduate funding packages.
  • Experience working with Collective Agreements, including CUPE 3902 Units 1 and 3 Collective Agreement.
  • Experience coordinating the postings and appointment of teaching assistant positions.
  • Demonstrated experience with administering and maintaining date in student information systems and related databases.
  • Experience providing senior administrative support for the Graduate Office, including coordinating scholarships and fellowships with the School of Graduate Studies and external contracts.
  • Experience developing and maintaining statistical data and reports.
  • Experience providing administrative support to committees, including booking rooms, taking minutes, and ordering catering.
  • Advanced skills with MS Office (e.g. Word, Excel, PowerPoint, Outlook), ROSI/ACORN, and Degree Explorer.
  • Excellent verbal and written communication skills
  • Excellent interpersonal, time-management, and organizational skills.
  • Demonstrated ability to take initiative and work pro-actively
