Maltais & Fitch is a boutique interior design studio based in Ottawa. We do warm, personal, architecturally-led residential work for a niche high-end clientele — clients who care deeply about quality, craftsmanship, and the experience of working with us. We're honest & approachable.
Behind the design work is a business that's growing — and growing well. We're a two-person founding team and we've reached the point where we need someone to help us run the operational side properly. Not someone to delegate to. Someone to own it.
THE ROLE
We're hiring a Project Management & Operations Lead on a contract basis, starting April 1st. Thirty hours a week, $40–$50/hr depending on experience, fully remote with occasional travel across North America. Ottawa-area candidates are a bonus, but location isn't the priority — the right person is.
This role sits at the center of how the studio functions. You'll keep projects moving, manage procurement and vendor relationships, communicate with clients, and make sure that Jane and Steph always have a clear picture of where things stand. You'll build systems where there are gaps, stay three steps ahead of problems, and handle the full range — from the strategic to the administrative — without making a big deal about either.
There's a 60-day mutual trial period built in. We want this to be the right fit on both sides.
WHAT YOU'LL TAKE OWNERSHIP OF
- Procurement from start to finish — placing orders, tracking statuses, chasing vendors, flagging delays before they become problems, coordinating deliveries and installs with real attention to detail
- Project timelines and internal tracking — knowing where everything is at any given moment and making sure the founders do too
- Client communication and scheduling — keeping clients informed, calm, and well taken care of throughout the process
- Vendor and supplier relationships — building trust, managing issues professionally, staying on top of lead times
- Systems and process — identifying what's not working and quietly making it better
- Studio admin — documents, presentations, expense tracking, inbox management — the stuff that matters more than it looks like it does

You see what needs to happen and you make it happen — without being asked, without waiting, and without making it someone else's problem. You think ahead. You spot gaps. You bring solutions before anyone realizes there's an issue. You'll keep us on track and, yes, sometimes that means telling us what we need to be doing next. We welcome that.
2. Detail & Tenacity
Procurement is unforgiving. One missed detail on an order can ripple into a delayed install. We need someone who is genuinely wired for this — who doesn't let things slip, doesn't get derailed by roadblocks, and sees everything through to the end. Not because they're told to, but because that's just how they operate.
3. Culture fit.
We work hard and we care about what we build — but we also value flexibility, work-life balance, and treating people well. We want someone who's kind and direct, who communicates quickly when something comes up, who says "yes, but it might mean adjusting something else" instead of just yes or just no. Someone honest. Someone who doesn't treat challenges as dead ends. High EQ with clients and with us.
YOU'RE PROBABLY A GOOD FIT IF
- You've worked in operations, project management, or studio/agency coordination — the industry doesn't matter as much as how you operated within it
- You have real experience owning procurement or logistics end-to-end, not just supporting it
- You're comfortable with PM tools, Slack, email, and spreadsheets — and quick to learn anything new
- You write clearly and communicate professionally without sounding stiff
- You genuinely want to grow with a company, not just pass through it
- The idea of a small studio with real momentum and room to make an impact sounds exciting, not modest
YOU'RE PROBABLY NOT A GOOD FIT IF
- You need close direction and frequent check-ins to stay productive
- You see this primarily as a contract for hours, not an opportunity to build something
- You're looking for a role with a clear ceiling and a defined lane
