Medical Secretary, Urology - (14579)
About the role
Mount Sinai Hospital part of the Sinai Health is looking for an experienced and dedicated Medical Secretary to support a busy and dynamic clinical practice in the department of Urology at Mount Sinai Hospital focused on Urologic Oncology.
In this role, the successful incumbent will be expected to exercise sound judgment and independence while managing the day-to-day related administrative activities. They will demonstrate a strong commitment to quality customer service, applying excellent problem solving and communication skills to ensure the success of a physician’s clinical practice within the Murray Koffler Urologic Wellness Centre at Mount Sinai Hospital.
In This Role You Will
- Greet patients and visitors in a friendly, courteous and respectful manner
- Provide timely, friendly, empathetic and informative front office clinical support to patients and visitors
- Enter patient demographics, book appointments for physicians, and send faxed or emailed appointment information to patients and referring physicians
- Answer phone calls, voicemails and email messages, and respond to patients in a timely manner
- Schedule patient appointments, imaging tests such as CT scans, and operative procedures
- Complete Cerner registration for all patient visits
- Photocopy requisitions and prepare requisitions for physicians
- Sort incoming faxes and place them in appropriate triage folders
- Prepare and maintain patient charts, including filing results and correspondence
- Validate OHIP health cards and MSH cards
- Process billing for consults and procedures not covered by OHIP, prepare daily tallies for the Administrator, and submit billing documentation to OHIP clerks in a timely manner
- Arrange interpreters as required
- Forward information to physicians while maintaining patient confidentiality and obtain release of information documents as needed
- Coordinate prescription renewals with pharmacies by phone and fax
- Complete daily mail drop off and pick up, and sign for front office deliveries
- Maintain an up to date clinical calendar using the appointment scheduler
- Collaborate with administrative support staff to ensure smooth office operations
- Perform additional administrative duties as assigned
Job Requirements Mandatory
- Successful completion of a college diploma preferably in the field of Medical Office or Business Administration from an accredited educational institution
- Applicants with proven equivalent and related training and experience may also be considered
Preferred
- 2 years of experience in an clinic/ healthcare environment
Skills and Knowledge
- Proficiency with medical terminology and medical dicta-typing preferred
- Proficient in Microsoft Word, Excel, Power Point, Outlook
- Strong work ethic; positive, client focused attitude; superior professionalism; dependability and reliability; demonstrated commitment to providing outstanding customer service in a fast-paced environment
- Superior written/oral communication and presentation skills; excellent interpersonal and relationship building skills; ability to effectively convey factual information and detailed explanations
- Superior time management, organizational and self-planning skills displaying flexibility by adjusting work schedules according to changing priorities, meeting demanding deadlines and producing high quality work
- Strong ability to function independently and interdependently within a large team
- Proven problem solving skills and ability to prioritize, manage and process a varied workload with a superior level of accuracy
- Demonstrated ability to make decisions, exercise good judgment, discretion and initiative when dealing with confidential information and/or in responding to inquiries
- Demonstrated satisfactory work performance and attendance history
