We are a faith-based independent school located in beautiful Nelson, British Columbia, and we are seeking an Administrative Assistant – Human Resources & Marketing to join our dynamic team.
The Administrative Assistant – Human Resources & Marketing provides administrative and clerical support for the Society’s human resources, recruitment, records management, communications, and marketing functions. Responsibilities include coordinating administrative processes, maintaining confidential employee records, preparing correspondence, reports, and employment documentation, scheduling interviews and meetings, supporting recruitment and onboarding activities, assisting with marketing and communications initiatives, and ensuring accurate record-keeping to support the efficient operation of the organization.
Key Responsibilities
Provide administrative support for human resources, recruitment, and marketing activities. Prepare and post job advertisements, coordinate interviews, and assist with onboarding documentation. Maintain confidential employee records, contracts, Criminal Record Checks, and other HR documentation. Prepare, proofread, and distribute correspondence, reports, forms, contracts, and administrative documents. Coordinate employee communications, meetings, appointments, and organizational events. Maintain leave, training, benefits, RRSP, and compliance records. Organize electronic and paper filing systems and prepare reports and spreadsheets as required. Assist with newsletters, social media, website updates, recruitment campaigns, and other marketing initiatives. Respond to general inquiries and provide professional administrative support to staff and stakeholders. Perform other related administrative duties as assigned by the Superintendent.
Requirements
Completion of Grade 12; post-secondary education in Office Administration, Business Administration, Human Resources, Marketing, or a related field is an asset. Minimum one (1) year of experience in an administrative support or office administration role. Proficiency in Microsoft Office and Google Workspace. Strong organizational, time management, and communication skills with exceptional attention to detail. Ability to prepare and maintain accurate records, correspondence, reports, and confidential documentation. Ability to prioritize multiple tasks and work independently in a fast-paced environment. Professional, courteous, and customer-focused with strong interpersonal skills. Experience supporting recruitment, human resources, or marketing activities is an asset. Experience working in an educational, non-profit, or faith-based organization is an asset. A clear Criminal Record Check suitable for working with children and vulnerable persons is required.
