About RFNOW RFNOW Inc. is seeking applications from motivated individuals interested in leading our growing Maintenance and Construction Team . The Fleet Administrator is responsible for managing the daily operations of the company’s vehicle fleet, ensuring all vehicles are properly maintained, licensed, insured, and compliant with regulatory requirements. This role supports operational efficiency by overseeing fleet records, coordinating maintenance and repairs, monitoring costs, and ensuring drivers have the tools and support needed to perform their duties safely and effectively.
Key Responsibilities
- Maintain accurate records of all company vehicles, including registrations, insurance, inspections, maintenance history, and mileage tracking.
- Schedule and coordinate preventive maintenance, inspections, and repairs with vendors and service providers.
- Monitor fuel usage, maintenance expenses, and other fleet-related costs to identify opportunities for efficiency and savings.
- Ensure compliance with federal, provincial/state, and municipal regulations, including safety, emissions, and licensing requirements.
- Assist with driver onboarding, training, and ensuring compliance with company fleet policies.
- Track accidents, incidents, and insurance claims, ensuring timely reporting and resolution.
- Support procurement of new vehicles and equipment, including evaluating vendor quotes and coordinating delivery.
- Implement and oversee fleet management systems/software to streamline tracking and reporting.
- Serve as the main point of contact for drivers regarding fleet-related questions, issues, or concerns.
- Prepare reports on fleet performance, cost analysis, and utilization for management review.
Qualifications & Experience
- Post-secondary education in business administration, logistics, or a related field (or equivalent experience).
- Previous experience in fleet administration, transportation, or logistics is an asset.
- Strong organizational and record-keeping skills with high attention to detail.
- Knowledge of vehicle maintenance schedules, safety regulations, and compliance requirements.
- Proficiency in MS Office (Excel, Word, Outlook); experience with fleet management software is an advantage.
- Excellent communication and problem-solving skills.
- Ability to manage multiple priorities and meet deadlines in a fast-paced environment.
Work Environment
- This role is based in our Maintenance Shop Virden, MB.
- Hours of work generally fall between 7:00am to 7:00pm, Monday to Friday with some overtime required.
