The Ministry of Parks, Culture and Sport's mission is to enhance economic growth and support quality of life by managing the provincial parks system and providing recreation, sport, heritage and cultural opportunities for residents and visitors. The Ministry is currently seeking a dynamic and highly motivated individual who is a flexible team player for the position of Park Administrative Representative (PAR) at Echo Valley Provincial Park. Reporting to the Park Administrative Supervisor, this position will be involved in administrative park operations.

You will perform a variety of office administration duties and assist with supervision of office/gate staff. Provide accurate and timely information to the public and troubleshooting issues. You will have knowledge of math and accounting principles and office/administrative procedures, protocols and equipment including computer systems. You will have good working knowledge of Microsoft Office suite.

The successful candidate will have the experience and ability to deliver excellent customer service, respond accurately and courteously to customer inquiries, concerns, or complaints; operate office equipment such as computers, printers, and electronic payment systems; and prepare daily deposits. You will be reliable and trustworthy, with the ability to work alone.

You will be able to perform the following:

Customer Service

  • Provide customer service to internal and external clients in person, over the phone, or by email in a timely, professional manner.
  • Assess, analyze, resolve [or escalate when necessary] customer complaints.

Revenue Processing

  • Preparing, assembling, and submitting all revenue reports.
  • Compile all applicable backup information, identifying and correcting errors, completing the deposit of funds process, and tracking of accountable forms. Prepare financial sessions in Aspira. Respond to revenue auditor’s inquiries.

Park Office Administration

  • Assist the PAS with the overall management of the Administrative Office, including managing and maintaining office equipment, ordering office supplies, creating, maintaining, and filing paper and electronic records, tracking, and sorting incoming and outgoing mail.

Administration

  • Responsible for tracking of accountable forms and financial sessions for administration office
  • Responsible for preparation of bank deposits and deposit summaries for all financial sessions.

Financial

  • Under the direction of the PAS or Park Manager, provides implementation of financial processes through electronically coding and entering invoices for payment, submitting summer housing deductions, submitting request for payment forms, debit memos, purchase requisitions and contract documents.
  • Responsible for tracking expenditures and keeping accurate financial records.

Human Resources

  • Act as a delegate in PSC Client by entering, amending, and submitting staff timecards to manager.
  • Monitor staff leave liability to ensure time is used according to Human Resource requirements.
  • Preparation and submission of Recall and Layoff Letters.
  • Completion of HR administrative documents and compilation and filing of personnel records.

Computer Skills/Data Entry

  • Responsible for tracking and submitting financial data.
  • Responsible to ensure that visual identity standards are maintained.
  • Responsible for maintaining and creating various signs and tracking spreadsheets for Park Manager and PAS.

Safety and Risk Management

  • Comply with OH&S policies and procedures followed in the park.
  • Responsible for the safe handling, risk management and accountability of public funds.
