Overview
Reporting to the Patient Services Supervisor, the Health Records and Digital Tools Technician supports patient care and clinic operations of our unattached patient clinic by managing the flow of health information and ensuring the clinic’s digital tools run smoothly. This role is responsible for handling chart transfers, scanning and faxing of reports, and managing incoming and outgoing health record requests. In addition, the Technician acts as the clinic’s expert in digital systems, ensuring that online booking, electronic forms, and other tools are set up, maintained, and functioning effectively. This is a 1.0 FTE position located in Peterborough for a 6-month contract from October 2025 through March 2026 based out of Peterborough, Ontario.
Responsibilities
The Health Records and Digital Tools Technician plays a key role in ensuring the smooth and efficient operation of the clinic by managing health records, supporting digital tools and systems, and providing collaborative administrative support. Responsibilities include, but are not limited to, the following:
Health Records Management
- Process and manage incoming and outgoing patient chart transfers.
- Scan, upload, and file incoming medical reports into the electronic medical record (EMR).
- Send and receive faxes in a timely and accurate manner.
- Ensure patient health information is organized and easily accessible to authorized staff.
- Handle all record requests from patients, providers, and authorized third parties.
Digital Tools & Systems Support
- Serve as the clinic’s lead resource for digital tools such as online appointment booking, electronic forms, and patient engagement platforms.
- Ensure systems are configured, updated, and working as intended.
- Troubleshoot issues and liaise with vendors or IT support when needed.
- Train and support staff in the effective use of digital tools.
Collaboration & Administrative Support
- Work closely with clinical and administrative staff to support information flow.
- Provide guidance on best practices for handling health information and digital workflows.
- Support general administrative functions as required.
Hours of Work:
Hours of service are pre-established per employment agreement and may require some evenings and weekends. Any deviation from the established schedule shall not negatively impact upon the provision of service to the patient population.
Qualifications
- Diploma or certificate in Health Information Management, Medical Office Administration, or related field preferred.
- 1–3 years of experience in a health records, medical office, or healthcare administrative role.
- Training or hands-on experience with digital health systems, including EMRs, online booking platforms, and digital forms, is preferred.
- Knowledge of PHIPA and patient privacy requirements.
- Strong technical aptitude and troubleshooting skills.
- Excellent attention to detail and organizational skills.
- Effective communicator with ability to support and train staff.
- Ability to manage multiple tasks in a busy clinic environment.

Founded at the turn of the millennium, Peterborough Family Health Team (PFHT) supports the primary health care sector in Peterborough City and County. As one of the largest Family Health Teams in Ontario, the organization works with over 100 primary care physicians providing comprehensive care to their patients. Collectively, we have over 100 inter-professional healthcare providers, comprised of: mental health clinicians, nurse practitioners, pharmacists, a physician assistant, registered dietitians, registered nurses and registered practical nurses.
In addition to one-on-one care, PFHT administers many programs, services, and workshops as a means to redirect patients from the providers practice to a more focused area of care. This approach increases capacity at the practice level while providing patients with an opportunity to learn how to manage their health. These programs, workshops, and services are offered at no charge and derive from irrefutable patterns displayed in the perpetual symptoms patients present.
PFHT is a Queen's residency site, allowing our primary care physicians to have the chance to teach new physicians.
