About the role

We’re an independently owned Canadian communications agency that specializes in public affairs, and government relations, public relations and marketing. Proof Strategies is built on a simple philosophy: you can do great work with great people and be a great place to work. Over the years, this philosophy has shaped an award-winning culture where curiosity, integrity and collaboration are respected and valued. It has made us one of Canada’s leading communications agencies, representing some of the world’s biggest brands and most trusted organizations.

We are seeking a Specialist on our AI Innovation & Technology team. This role supports the integration of AI and modern tools into our day-to-day communications practice and client work. You’ll help execute the building blocks of our AI Visibility programs and support AI training development through running prompt tests, logging results, maintaining clean records, building decks from templates, and keeping our libraries and trackers up to date.

Responsibilities

AI Visibility Audits

  • Run prompt and search tests end-to-end: set up prompts, input consistently, capture results, and log them in trackers
  • Maintain clean testing records: organized prompt library (versioned), simple scoring sheets, neatly saved results and screenshots
  • Compile progress notes and first-pass summaries for inclusion in client-ready reports; flag anomalies for review; follow approved tools and data-handling guidelines, and escalate any risks

Training Support

  • Build training decks from templates; update examples; ensure slides are client-ready (clean visuals, clear narrative); export and file assets accurately
  • Maintain resource hubs/FAQs and intake forms; collect and organize attendee questions and feedback
  • Prep session logistics (materials, recordings, documents) and keep documentation tidy and findable

Platforms & Software

  • Create and maintain Boolean libraries and saved searches; pull exports and snapshots on a set cadence
  • Keep dashboards, labels, and folders organized, track access and permissions requests
  • Gather background information using platforms for research, audits, and new business materials
  • Our stack evolves; today, this includes Meltwater, MRP, Newswhip, Podchaser, Profound, Cision, BrightEdge, LexisNexis, Axios, Klear, Microsoft 365/Copilot, and Google Workspace

Research & AI Workflows

  • Conduct research and landscape scans using approved AI tools, capture sources clearly
  • Draft lightweight workflow notes (“how we’ll use AI here”) for projects, following existing frameworks (e.g., TRACI for prompting; our AI Visibility scoring guide)
  • Support builds of simple Agents/GPTs from templates for internal and client use (no heavy coding)

Qualifications

Must-haves

  • Enthusiastic, hands-on understanding of AI tools and how to use them for practical work
  • Service-oriented and collaborative working style, respectful of deadlines and commitments
  • Prompt writing and testing
  • Research rigour
  • Data hygiene and tracking QA mindset (consistency checks across decks, tables, links)
  • Advanced PowerPoint skills
  • Advanced Excel skills (filters, LOOKUP/XLOOKUP, pivots, core formulas)
  • Project coordination
  • Basic AI Agent/GPT building from templates
  • Sound judgment with client-sensitive information; follows governance and disclosure norms
  • Knowledge of how agencies and marcomms teams operate
  • Bachelor’s or College degree or equivalent experience
  • 3+ years of professional experience with meaningful exposure to the marketing/communications environment (e.g., agency; vendor/tech partner such as media-intelligence/SaaS like Meltwater; in-house marketing/communications; consultancy)

Nice-to-haves

  • Audit documentation and SOP writing
  • Stakeholder communication experience
  • Privacy/compliance awareness
  • Boolean/search operators; experience with Meltwater
  • Familiarity with Microsoft Copilot
  • Accessibility awareness

Work Eligibility

  • Candidates must be legally eligible to work in Canada or the United States
