ORGANIZATIONAL BACKGROUND

The Mental Health Commission of Canada (MHCC) is a non-profit organization created to focus national attention on mental health issues and to work to improve the health and social outcomes of people living with mental health problems and illnesses.

The Commission is a leader nationally and internationally in several areas. Building upon the work done to date, the core mandate, and the unique position of the Commission, and guided by Changing Directions Changing Lives: The Mental Health Strategy for Canada, the Commission will focus in the areas of, substance abuse/misuse, suicide prevention, population-based initiatives, and engagement. This prioritization will enable the Commission to be successful in meeting its mandate, staying focused, and having a measurable impact for those living with mental illness and their families and caregivers.

The Mental Health Commission’s head office is in Ottawa, Ontario.

POSITION OVERVIEW

Reporting to the Manager, Healthcare Providers and Structural Stigma, the Program Coordinator will provide expertise and support to key strategic projects aimed at improving access to quality mental health care. Topic areas include but are not limited to structural stigma, primary care and health-care workers. The Program Coordinator will also work in collaboration with other MHCC departments and external interest holders.

DUTIES AND RESPONSIBILITIES

  • Coordinate conferences, events and meetings on various projects and initiatives, including preparing meeting agendas, summaries and meeting notes;
  • Assist with project administration of key departmental projects and initiatives;
  • Organize meeting material including binders, collateral, handouts and other education material for conferences, meetings and events;
  • Support interest holder relationships, including managing interest holder contact information in client relationship database (Salesforce);
  • Conduct outreach, organize meetings and lead relationships with key interest holder groups
  • Manage project files, documents, and reports;
  • Provide regular status reports and updates to the manager;
  • Help develop and maintain project progress reports for internal and external interest holders;
  • Liaise with external and internal research/project team(s) and key project interest holders, as identified by the manager;
  • Assist with tracking project expenses and working with department administrator where necessary;
  • Plan and execute the technical delivery of webinars for the department;
  • Assist with tracking performance measurement indicators and developing evaluation surveys
  • Support the development and tracking of work plans;
  • Assist with creating power point presentations, where necessary;
  • Help put together publications, reports, and/or proposals together as deemed necessary;
  • Coordinate and track translation, communications and other requests involving internal and external support
  • Confirm conference attendance details including speaking engagements; and
  • Other duties as assigned.

SKILLS AND EXPERIENCE

  • Familiarity with principles of client-centred, equitable and recovery-oriented care, and the mental health system.
  • Strong project coordination skills, to support the development of projects from conception to launch and ongoing dissemination, and demonstrated experience meeting deadlines while working either independently, or with multiple internal or external interest holders.
  • Strong interpersonal, organizational, project coordination, (oral and written) communications skills (including writing or reviewing briefing notes and reports) and sound judgement
  • Strong experience in event planning
  • Results oriented, creative, and possessing a high degree of initiative and versatility
  • Ability to identify and provide strategies to connect with key interest holders to foster partnerships, with the end goal of progressing the work forward
  • Experience utilizing a Customer Relations Database System (Salesforce)
  • Experience coordinating and running webinars
  • Experience with computer information databases, personal computers in a Windows environment, computer logic concepts, and on-line systems
  • Must be highly organized, analytical, accurate and detail oriented
  • Must be able to work under pressure to meet deadlines; must be able to analyze and prioritize assignments
  • The ability to learn quickly and work independently and to function in a rapidly changing environment

QUALIFICATIONS

  • Bachelor’s degree in Social Science, or Communications or a combination of similar experience
  • A minimum of three years’ experience (health oriented preferred) in Project Coordination, Communications, Administration, or experience working in health promotion.
  • Good understanding of mental health care in Canada, and the MHCC’s initiatives
  • Advanced proficiency in webinar platforms to set up and manage webinars and consultations
  • Advanced proficiency in MS Office (Word, Excel, PowerPoint, and Outlook Calendar); CRM (Salesforce)
  • Ability to speak both official languages (English & French) is an asset.

  • Moderate periods of time spent in meeting type settings
  • Extended visual requirements (5 plus hours) due to computer related work
  • Extended periods of time spent in sitting position (computer work, meetings etc. 5 plus hours)
