Purpose: To administer the office of the CEO and support the Board in its governance capacity

Role Summary:

The Executive Assistant will support the CEO to operate at their highest level of focus and effectiveness by managing scheduling, correspondence, project coordination, organization and a wide range of administrative responsibilities. The EA will act as gatekeeper and advisor, contributing to a constructive organizational culture that values respectful and caring relationships, solid and efficient systems and processes, and outstanding results.

Responsibilities:

Executive Communications and Administrative Support:

  • Manage, prioritize, flag and ensure follow up to email and other correspondence or requests, responding on behalf of the CEO when appropriate

  • Schedule, coordinate, and manage the CEO’s calendar with particular attention to the allocation of his time, setting of priorities, work planning and meeting of requirements, deliverables, targets, and goals

  • Advise on and facilitate clear and timely communication between the CEO and internal/external stakeholders and assist in dealing with high-pressure communications events

  • Plan and coordinate events, arrange travel, and other related duties

Board and Committee Support:

  • Manage and represent the brand of the office of the CEO

  • Welcome and onboard new board members and honour retiring board members

  • Plan for and manage all board and committee meetings and the annual retreat, including developing and distributing agenda and packages, securing venues and arranging catering, making travel arrangements, and disseminating documents and materials

  • Keep minutes and other records of meeting discussions

  • Coordinate and track follow-up actions from Board meetings, maintaining systems to track Board decisions and ensuring accountability

  • Track governance responsibilities of the chair, board and committee to ensure they are being fulfilled on schedule

  • Evaluate whether organizational practices are aligned with Board policies, and ensure policies are in compliance with corporate rules and mission

Relationship Management:

  • Directly support the CEO in fostering strong relationships with the executive team, other staff, donors, corporate partners, board and committee members, media and other stakeholders

  • Facilitate engagement by liaising directly and taking proactive steps to ensure positive, ongoing relationships

Qualifications and Experience:

  • Post-secondary education in Administration, Project Management, or a related field, or an equivalent combination of education and experience

  • 7+ years of experience providing administrative and planning support to executive leaders

  • Strong project management expertise, with a track record of managing cross-functional teams and complex projects

  • Strong proficiency with MS Office and project management tools (e.g., Monday.com)

  • Strong communication skills, both written and verbal, with an ability to clearly articulate risks and recommendations

  • Experience in developing and maintaining organizational systems and tracking tools to ensure project and deliverable transparency

Work Environment:

  • This is a full-time, permanent role working Monday-Friday, based out of the Foundation’s Vancouver office
  • The position will work a 3-5 days per week in office, depending on operational needs
