Administrative Assistant
About the role
Workplace:Design Center, 1600 Notre-Dame West, Montreal, Quebec, H3J 1M1
Status: Full-time
Salary: Starting from 50,000$
Reporting to the Property Manager, the Administrative Assistant will be responsible for overseeing daily administrative operations, including tenant follow-ups, payment tracking, and vendor management. This role ensures high-quality service by responding to tenant requests and maintaining optimal organization.
Responsibilities:
Manage communications with tenants by responding to emails promptly, answering phone calls, and maintaining strong relationships with them. Regularly update the tenant list, including contact information (name, email, phone number). Handle rental inquiries and process information for new tenants, including preparing proposals and lease offers. Monitor tenant payments and send reminders in cases of partial payments or overdue balances. Perform daily bank deposits (cheques, transfers). Oversee accounts payable, invoice management, and payments through an electronic system. Maintain an efficient electronic filing system for administrative documents (leases, invoices, and various communications).
Required Skills:
Excellent organizational and time management skills. Strong verbal and written communication skills. Proficiency in computer systems and management tools, including Hopem, Tipalti, and basic knowledge of Word and Excel. Ability to manage multiple tasks simultaneously and meet tight deadlines. Strong interpersonal skills, especially in dealing with tenants and suppliers. Discretion and attention to detail when handling confidential documents. Knowledge of administrative and accounting procedures (AR, AP, lease management). Ability to remain calm and professional, even in stressful situations. Fluency in both French and English, spoken and written.
