Who we are looking for
COORDINATOR, HIGH PERFORMANCE PERMANENT FULL-TIME POSITION
The Coordinator, High Performance is responsible for supporting the operational and administrative needs of the Discipline. This role plays a key part in delivering seamless logistics and coordination for domestic and international events, including World Cups, Major Games, and training camps, while also assisting World Games disciplines. The coordinator manages event registration, travel arrangements, invoicing, compliance, and communication, ensuring that athletes, coaches, and staff are fully supported in high-performance environments.
Event Logistics & Administration Plan, coordinate, and execute all travel and logistical arrangements for domestic and international events, including World Cups, Major Games, and camps. Arrange and confirm reservations for flights, hotels, insurance, and on-site transportation (including Uber chit coordination). Support event operations by handling “Click n Clear/music uploads”, insurance, and compliance documentation. Collect and track all required documentation (e.g., waivers, passports, medical forms) from athletes, coaches, and staff. Liaise with organizing committees and partners to ensure smooth event delivery.
Financial Support Prepare invoices, pre-payments, and follow-ups for event-related expenses. Manage the automated prepayment system for events, ensuring accuracy, compliance, and timely reconciliation with the Finance Department. Assist with budgeting and expense tracking; prepare expense forms for authorized sign-off by Program Leads. Coordinate with finance on “Uber”/transport reimbursements and other operational costs.
Compliance & Policy Support Ensure compliance with all high-performance requirements, including “OneBadge”, “Sport Integrity Canada”, “FIG” licenses, and athlete/coach commitment forms. Support the implementation of Safe Sport initiatives, including monitoring and updating compliance pipelines. Assist with updating and implementing policies, procedures, and internal communications.
Database and Results Management Maintain and update athlete and coach databases. Generate participation, payment, and documentation reports for Program Leads. Liaise with communications staff to ensure accurate team tracking for events
Administrative Support Post and distribute documents, forms, and memos via “Activity Messenger”. Provide support during coach meetings, technical assemblies, and planning sessions.
Special Projects Lead and/or contribute to special projects identified by the Program Leads, or High-Performance leadership. Support process improvements to enhance efficiency and service delivery across High-Performance operations.
Who you are Post-secondary degree or diploma in Sport Management, Event Management or related field. 1-2 years of experience in event coordination, travel logistics, sport administration, or high-performance operations. Experience coordinating travel arrangements, including flights, accommodations, insurance, and ground transport. Ability to manage and organize large volumes of documents (waivers, passport scans, medical forms, etc.). Exceptional ability to prioritize, manage multiple concurrent tasks and deadlines, and maintain accuracy under pressure. Strong attention to detail, particularly in tracking compliance, documentation, and financial information. Strong interpersonal skills with the ability to communicate clearly and professionally Ability to troubleshoot last-minute travel or logistical issues calmly and professionally. Comfortable working with evolving schedules, changes in event requirements, and tight timelines. Demonstrated ability to work autonomously while also collaborating with Program Leads. Ability to handle sensitive personal information (passports, medical forms, compliance details) with discretion and confidentiality. Bilingualism (English and French) is preferred.
Location Position is remotely based in Ontario or Quebec.
Conditions Some evening and weekend work and travel may be required.
