About the role

Executive Assistant to the Chief Executive Officer Location: Downtown Toronto, Ontario Organization: The Rekai Centres Position Type: Full-time, On-site (This is not a hybrid position.) NOTE: Interviews may have a practical skills assessment aspect.

Position Description Reporting directly to the Chief Executive Officer, the Executive Assistant provides executive, governance, and administrative support to the Office of the CEO.

The Executive Assistant manages the day-to-day activities of the Executive Office and serves as the primary point of coordination between the CEO, the Board of Directors, Senior Leadership Team, and external stakeholders. The role supports executive priorities, Board governance, and organizational communications while exercising professionalism, discretion, and sound judgment.

Key Responsibilities Executive Support to the CEO Office Manage the day-to-day administration Coordinate the CEO's calendar, meetings, travel, and executive commitments. Prepare executive correspondence, reports, presentations, briefing notes, agendas, and meeting materials. Monitor deadlines, action items, and follow-up to support executive priorities. Coordinate stakeholder meetings, special projects, and communications Serve as the primary point of contact and maintain executive and corporate records.

Governance Support Coordinate Board of Directors and Board Committee meetings, including scheduling, agenda preparation, meeting logistics, Board packages, minutes, and follow-up actions. Maintain Board records, including bylaws, policies, resolutions, declarations, minutes, and other governance documentation. Serve as the primary liaison between the CEO, Board members, and Board Committees, facilitating effective communication and governance processes

Educational and Experience Requirements Bachelor's degree in Business Administration, Public Administration, Health Administration, Communications, Governance, or a related discipline. An equivalent combination of education and relevant executive support experience may be considered. Minimum five (5) years of progressively responsible experience providing executive support to a Chief Executive Officer or senior executive. Experience supporting a Board of Directors and Board Committees. Experience in healthcare, long-term care, the public sector, or a not-for-profit organization is considered an asset.

Skills and Attributes Excellent organizational skills with the ability to manage competing priorities and meet deadlines. Strong written, verbal, and interpersonal communication skills. Sound judgment, discretion, and exceptional attention to detail. Resourceful, proactive, and able to work independently. Advanced proficiency with Microsoft Office 365 (Word, Excel, Outlook, PowerPoint, and Teams). Experience using Board portal software (e.g., OnBoard) is considered an asset.

Working Conditions Professional office environment. Occasional evening or weekend meetings to support Board and organizational activities.

Physical Demands Prolonged periods of sitting, keyboarding, and computer use. Regular use of office technology and electronic information systems. Interaction within a long-term care environment, including occasional contact with residents who may exhibit responsive behaviours associated with neurological conditions.
