The Specialist, Media Operations is responsible for ensuring the integrity, optimization, and advanced fluidity of financial and administrative processes related to media purchases. This key role manages the end-to-end operational workflow, serving as the subject matter expert who owns the relationship between the media buying and planning teams and the finance department, guaranteeing rigorous and complex coordination of client invoicing and precise transaction management and system maintenance within the Mediaocean platform.

Transparency matters to us. For this role, you can expect a salary between $50,000-$55,000 annually, depending on experience. This is for a new vacancy.

responsibilities:

  • Manage the timely and accurate processing of media purchases, partner invoices, replacement notices (makegoods), and campaign post-analyses within the internal billing system (Mediaocean).
  • Lead the end-to-end client invoicing process, working closely with media buyers and planners to ensure alignment with financial agreements.
  • Serve as the expert for rigorous verification and validation of media supplier invoices, overseeing the resolution of complex billing issues and discrepancies.
  • Serve as the primary point of contact for and finalize client invoicing with the internal finance team.
  • Own the development, maintenance, and verification of client budget control reports, providing analysis and insights to internal teams.
  • Manage and resolve complex client billing inquiries, providing professional and detailed explanations related to the invoicing of their campaigns.
  • Identify opportunities for process improvement within the media operations workflow and implement system enhancements to increase efficiency and accuracy.

qualifications:

  • Minimum of 3+ years of relevant experience in media coordination, administration, accounting, or business administration.
  • Extensive experience with the Mediaocean system (required).
  • Advanced mastery of the Google Suite, especially Sheets (pivot tables, complex formulas)
  • Demonstrated ability to be rigorous, meticulous, and maintain an exceptional concern for detail and excellence.
  • Proven autonomy, reliability, and resourcefulness in managing critical financial processes.
  • Exceptional ability to effectively manage competing priorities and work under pressure in a dynamic environment.
  • Demonstrated aptitude for being an effective collaborator, a team leader, and for interacting well with various internal and external stakeholders.
  • Strong problem-solving ability, an analytical mindset, and a passion for numbers.
  • Strong interest in the field of media and communications.
  • You are motivated by the curiosity to use AI tools to advance the work and objectives of our clients.
