Job Details:

Position Title: Program Support Officer

Job Type: Appendix-D Contract (7-months duration)

Hours: 37.5 hours per week

Faculty/Department: Faculty of Health & Life Sciences

Campus/Location: North Campus

Salary: Payband G: $34.60- $39.93

Starting Salary: $34.60; Progression through the payband is in accordance with the increments in the payband as outline in the Full-Time Support Staff Collective Agreement based on actual service in the payband.

About the Program Support Role, School of Nursing Role:

The incumbent will provide direct support to the Dean, School of Nursing in three distinct program areas including Nursing degree and diploma and PSW certificate programs Academic Leadership in the Faculty of Health & Life Sciences while providing a comprehensive range of support services to the students, professors, program coordinators (PCs), external stakeholders, in their assigned cluster of programming. Responsibilities include but are not limited to: administrative, program, financial, human resources, student, marketing, and inter-departmental support. The incumbent also acts as a resource to students, professors, PCs, and administrators on the application of the College’s academic policies and procedures. It is expected that the incumbent, therefore, will continue to develop opportunities that directly impact the learning environment and work-processes.

Program Support

  • Process curriculum changes ensuring that: the proper form is used for the Office of Program Planning, Development and Renewal; the ministry rules are followed for curriculum changes; and deadlines are adhered to
  • Under the direction of the Dean, School of Nursing Academic Leadership within the Faculty, provide support to Program Advisory Committees ensuring procedures are followed. Support includes, but is not limited to: room bookings, welcome letters, term completion letters, membership updates, and tracking and/or taking of minutes/agendas
  • Provide administrative support to key stakeholders with the annual program review and renewal process, including but not limited to program mapping, course outlines, calendar reviews and Faculty guides
  • Prepare, disseminate and archive student and program communications
  • Collect information such as scholarship forms, awards nominations forms, signed SWFs, and sample student work for PEQAB, etc. and ensuring accuracy and completion
  • Provide administrative and logistical support to School of Nursing Academic Leader (AL) in the Faculty with program level events such as, but not limited to, Open House, Information Nights, Orientation, etc.
  • Organize logistics around class cancellations
  • Assist, advise and provide support for departmental programs
  • Coordinate invigilators for exam weeks when applicable
  • Maintain program records in appropriate databases (i.e. student records)
  • Provide support to School of Nursing Academic Leadership in regard to all program services and evaluations
  • Respond to inquiries from all stakeholders in the Faculty
  • Provide support and work in collaboration with other members of the support staff team.

Administrative Support

  • Provide administrative support to the Academic Leader(s) (AL) within the School of Nursing and PSW programs in the Faculty
  • Under the direction of the AL, generate required reports for programs in order to support the Faculty’s strategic objectives
  • Under the direction of the AL, analyze service delivery and/or internal processes to recommend improvements, and recommend and implement efficient internal processes for service delivery

Student Services and Support

  • Respond to student enquiries and redirect as appropriate (e.g. financial awards, scholarships, appeals, petitions, etc.)

Education

  • 3 year degree or diploma in Health Science, Business, Communications, Entrepreneurship, Finance, Human Resources, Information Systems, Marketing and any other related fields of study.

Experience/Skills

  • Minimum of one (1) years’ progressive administrative or student advising experience in a post-secondary environment working specifically with Nursing and PSW programs.
  • Experience with compiling and analyzing research-based data from various sources, producing reports and identifying trends from data to develop solutions and strategies based on Nursing and PSW programs
  • Experience with drafting and proofreading communications, supporting and/or advising students on courses and programs selection, supporting curriculum planning, and academic program delivery, interpreting policies and procedures, special events for the Nursing and PSW programs.
  • Proficency with Microsoft Office (Word, Excel, Outlook, Access, and PowerPoint), and Adobe Acrobat.
  • Excellent time management and multitasking skills.
  • Proven ability to work independently on assigned tasks with minimum supervision.
  • Excellent interpersonal skills with an ability to work in a team environment.
  • Ability to use office equipment – phone, photocopier, printer, fax and troubleshoot technical minor problems.
  • Proven excellent verbal and written communications skills.
