Join Sifton as a Residential Rental Legal Administrator/Paralegal, where you’ll manage landlord-tenant legal matters, represent the company at LTB hearings, and ensure compliance with the Residential Tenancies Act. This role is key in resolving tenant issues and supporting a positive rental experience across our London residential portfolio.

About The Role
- Prepare, file, and manage legal documents and notices in accordance with the Residential Tenancies Act (RTA) and internal timelines.
- Represent the organization at Landlord and Tenant Board (LTB) proceedings, ensuring thorough preparation and a high rate of successful outcomes.
- Oversee monthly rent collection and accounts receivable processes, ensuring payment compliance and appropriate legal follow-up.
- Resolve tenant disputes proactively, applying conflict resolution strategies to minimize escalation and formal legal action.
- Monitor tenant insurance compliance by tracking policies, verifying coverage, and following up on expirations.
- Draft and issue lease compliance correspondence and legal notices with professionalism and accuracy.
- Maintain accurate and up-to-date tenant records within CRM and related property management software systems.
- Build and maintain strong working relationships with tenants and internal team members to support a positive rental experience.
- Support the tenant lifecycle process, including new lease onboarding, tenancy changes, and termination procedures.
- Contribute to a collaborative workplace environment by supporting company values and performing additional duties as required.
Experience
- Paralegal Diploma or equivalent legal studies from an accredited institution.
- Licensed and in good standing with the Law Society of Ontario (LSO).
- Minimum of 3–5 years of experience in landlord and tenant law, property management, or related legal administrative work.
- Strong knowledge of the Residential Tenancies Act, LTB procedures, and eviction processes, including experience serving legal notices and communications.
- Exceptional organizational skills with the ability to manage multiple priorities and deadlines.
- Excellent written and verbal communication skills, including strong negotiation and advocacy abilities.
- Proficient with MS Office systems as well as Salesforce, DocuWare, NetSuite and TOP.
- Flexibility to work outside standard business hours may be required to attend hearings or meet operational needs.
- Valid driver’s license and reliable vehicle
