About the Role
Reporting to the Executive Director, the Transportation & Logistics Coordinator ensures the effective and efficient transportation and delivery of food throughout the community and broader Quinte region. You’ll coordinate daily client service deliveries, collection of community donations, and delivery of food to regional community partners (i.e. food banks, community meal programs, etc.). This is a critical role ideal for someone who thrives on organization, is comfortable driving larger vehicles, and wants to make an impact on our community. A friendly and supportive approach to client service is required and the forklift certification is an asset.
Areas of Responsibility
Driving & Transportation (Direct Service Delivery)
- Conduct regular pick-ups of food donations from grocery stores, farms, businesses, food drives, and partner organizations.
- Complete scheduled deliveries to clients, community partners, satellite programs, or events.
- Operate food bank vehicles safely, following all traffic laws and organizational policies.
- Ensure vehicles are loaded and secured safely, using proper lifting techniques and equipment.
- Maintain accurate delivery and pick-up records.
Volunteer Driver Coordination
- In collaboration with the Volunteer Coordinator: recruit, onboard, train, and schedule volunteer drivers to support transportation activities.
- Create and maintain weekly and monthly driving schedules.
- Provide ongoing communication, guidance, and support to volunteer drivers.
- Ensure all volunteer drivers meet screening and safety requirements (e.g., driver’s abstracts, training, orientation).
- Serve as the primary point of contact for volunteer transportation inquiries or issues.
Logistics & Operational Coordination
- Manage transportation routes to maximize efficiency and minimize fuel and time costs.
- Coordinate with warehouse staff to align pick-ups, deliveries, and inventory flow.
- Ensure timely movement of fresh produce, perishable items, and high-priority donations.
- Monitor upcoming donation opportunities, special events, or food drives requiring transportation support.
- Collaborate with the warehouse team to support stocking, loading, and unloading as needed.
Vehicle Maintenance & Compliance
- Conduct routine vehicle inspections and ensure vehicles are safe, clean, and road-ready.
- Schedule vehicle maintenance and repairs with approved service providers.
- Track mileage, fuel usage, warranties, and service records.
- Ensure compliance with all relevant transportation safety regulations and organizational policies.
Relationship Management & Community Engagement
- Build and maintain positive relationships with grocery partners, donors, and community organizations.
- Represent the food bank professionally during pick-ups and drop-offs.
- Support donor appreciation efforts by sharing feedback on donation volumes, trends, or engagement opportunities.
Safety & Risk Management
- Ensure safe handling, lifting, and transport of all food and materials.
- Train staff and volunteers on safe loading/unloading procedures.
- Report incidents, near misses, hazards, or vehicle concerns promptly.
- Adhere to food safety, confidentiality, and client dignity standards at all times.
Other Duties
- Support general warehouse operations during peak times or staffing shortages.
- Assist with special events, food drives, and community outreach as needed.
- Perform additional tasks as assigned to ensure smooth operations.
Required Qualifications
· High school diploma (OSSD or equivalent) required.
· Post-secondary education in logistics, business, community services, or a related field is considered an asset.
· An equivalent combination of education and relevant experience will be considered.
· Experience in transportation, logistics, delivery driving, or warehouse operations preferred.
· Experience coordinating volunteers or staff is an asset.
· Ability to lift and move items up to 50 lbs and perform physical tasks safely.
· Strong organizational, scheduling, and communication skills.
· Ability to work independently, problem-solve, and adapt to changing priorities.
· Knowledge of Belleville and Quinte-area geography is an asset.
· Basic computer skills (email, spreadsheets, scheduling tools).
· Valid Ontario Class G driver’s licence with a clean driving record (driver’s abstract required).
· Valid Forklift Operator certification.
· A Criminal Record Check with Vulnerable Sector Screening acceptable to Gleaners Foodbank is required for this role.
