The opportunity:
The University of Manitoba is seeking a Travel Services Assistant to join Travel Services. Reporting to the University Travel Program Administrator, this role supports the administration of the University’s credit card programs, petty cash and change funds, gift card processes, and cash/accountable advances. The incumbent is also responsible for handling administrative duties related to petty cash, gift cards, and accountable advances in the absence of the Financial Assistant, while overseeing the collection of purchasing card reconciliation packages and monitoring specific card transactions.
In addition, the Travel Services Assistant will assist the Credit Card Coordinator in administering the University’s travel, purchasing, corporate, and Heartland cards. This includes processing applications and card distribution, monitoring and reporting card usage and transactions, reconciling payments, allocating travel-related charges, and following up with cardholders on overdue reconciliations.
The qualifications and experience we’re looking for:
- Completion of a formal training program in the related discipline (accounting or business administration) from a recognized institution is required.
- Minimum 4 years of experience in an accounting-related position is required.
- Knowledge of accounting theory and practice has been acquired is required.
- Experience working in complex, integrated computer and information system environment and a working knowledge of computer produce data is required.
- Experience with credit card program administration is preferred.
- University financial records systems experience preferred with emphasis on policy interpretation and enforcement.
- Experience in the use of the Aurora Financial System is considered an asset.
- Good knowledge of university policy and procedures would be an asset.
- An acceptable equivalent combination of education and experience may be considered.
- Must have a solid understanding of accounting principles.
- Must be skilled in the use of a personal computer and desktop software (M365), and have intermediate level Excel skills.
- Must have excellent organizational skills and the ability to prioritize.
- Must have strong problem solving skills.
- Must be able to reconcile accounts when necessary.
- Must have excellent written and oral communication skills.
- Must have the ability to process large numbers of documents with speed, accuracy and attention to detail in order to meet strict deadlines.
- Demonstrated ability to provide excellent customer service required.
- Ability to demonstrate tactfulness and diplomacy required.
- Ability to work independently, organize and administer activities required.
- Satisfactory work record, including satisfactory attendance and punctuality, is required.
