Position Overview:
ABC Recycling Ltd. is seeking an Export and Inbound Coordinator.
Responsibilities:
Non-Ferrous Export Documentation:
- Create Sales Contracts for buyers to establish clear terms and conditions for shipping arrangements, pricing, and regulatory compliance.
- Coordinate shipments for both domestic and international trade.
- Evaluate ocean freight rates and request timely bookings from different freight forwarders.
- Communicate effectively with trucking companies to ensure prompt pickup and delivery.
- Collaborate with internal departments, including operations and logistics, to gather necessary information for smooth export processes.
- Monitor vessel schedules, including Earliest Return Date (ERD) and cutoff dates.
- Arrange transportation (sometimes within short notice) for container pickup/drop-off at ports.
- Prepare and submit essential export documents, such as Bills of Lading Instructions, and Verified Gross Mass (VGM), before the deadline.
- Provide clients with necessary documentation, including Invoices, Packing lists, Scale tickets, Bills of Lading, Insurance Certificates and other required documentation.
- Ensure strict compliance with international trade regulations and legal requirements.
- For Free Alongside Ship (FAS) shipments, liaise with clients for prompt bookings and follow up on payments before releasing shipments.
- For Cost and Freight (CNF) and Cost Insurance Freight (CIF) shipments, track the progress of shipments (ETD/ETA) and notify clients to arrange payments once containers reach the destination.
- Submit DP documents to the bank, including Invoice, Packing List, Insurance Certificate, Declaration of Heat-treated Wood Packing Material, Declaration of Non-Radioactivity material, Certificate of Origin, Ocean Freight Certificate and Metal Recovery Certificate., and other specific required documentation.
- Demonstrate strong teamwork and interpersonal skills.
- Provide excellent customer service to clients.
- Maintain accurate and organized records of all export activities.
- Prepare Final Invoices following price fixation and adjust the amounts to settle any price differences.
- Organize claims for review, coordinate with Operations to resolve claims, and manage the processing of claim settlements.
Inbound Non-Ferrous Procurement Analysis:
- Create Purchase Contracts for suppliers to ensure timely delivery of materials and adherence to agreed terms.
- Analyze inbound Non-Ferrous supplier shipments for grading discrepancies per international specifications.
- Generate purchase summary reports highlighting non-conforming materials, weight discrepancies, pricing discrepancies, and adjusted payment guidance.
- Liaise with the operations team to verify grading issues and ensure accuracy.
- Price tickets and request payment transfers.
- Submit advance payment requests.
- Update tracking spreadsheets for advance payments related to key dealer accounts.
- Upload weekly Non-Ferrous purchase price files into the system.
Qualifications:
- Post-secondary education in International Trade or Logistics is preferred.
- Minimum of 2+ years’ experience in international trade, logistics, or supply chain management.
- Strong knowledge of regulations and laws related to international trade.
- Proficiency in Microsoft Office 365.
- Strong work ethic, self-motivated, and proactive.
- Excellent attention to detail with the ability to manage complex documentation and data.
- Proven ability to thrive in a collaborative and fast-paced environment.
- Strong communication and organizational skills.
- Ability to multitask and prioritize effectively.
