About the role

Office Administrator

Responsibilities:
Administrative & Customer Support:

  • Answer phone and email inquiries in a professional and courteous manner, ensuring high levels of customer satisfaction.
  • Maintain and update customer records within CRM software.
  • Assist in scheduling and routing services to optimize technician efficiency.
  • Process and submit financial documentation, including invoices, receipts, and expense reports.
  • Perform general office duties, including ordering supplies and maintaining an organized workspace.

Tracking & Monitoring Technician Production:

  • Monitor technician productivity, job completion rates, and service efficiency.
  • Track work orders, ensuring accurate documentation of job details and completion timelines.
  • Provide reports on technician performance and assist in implementing strategies for improvement.
  • Ensure technicians are submitting job-related receipts and documentation in a timely manner.

Financial & Operational Support:

  • Track and report cost of goods sold (COGS) to maintain accurate financial records.
  • Ensure accurate and timely submission of expense reports and receipts.
  • Assist in reconciling financial records, identifying discrepancies, and working with accounting as needed.
  • Work closely with management to analyze operational costs and suggest cost-saving measures.

Requirements & Qualifications:

  • Previous experience in office administration, customer service, or operations support.
  • Strong organizational and time management skills with the ability to multitask.
  • Proficiency in CRM software and Microsoft Office (Excel, Word, Outlook).
  • Ability to analyze data, track metrics, and generate performance reports.
  • Strong attention to detail and accuracy in financial documentation.
  • Excellent verbal and written communication skills.
  • Ability to work independently and collaborate effectively with teams.
  • Positive attitude, problem-solving mindset, and willingness to take initiative.
  • Experience with financial reporting, receipt management, or bookkeeping is a plus.

Pay rate - $20-$25
