The purpose of this position is to provide reception and secretarial duties for Social Programs, Charlottetown office, along with providing administrative duties for AccessAbility Supports, Social Supports, Child Care Subsidy Programs, Seniors Independence Initiative and program supervisors. It requires interacting and networking with both front-line and administrative staff as well as clients and the general public.
Duties will include but are not limited to:
- Ensure all files are signed in and out of the file room by Support Coordinators, Supervisors, Provincial Auditors, and Processors; this involves creating a sign-in and sign-out process and ensuring that staff are aware of the Coordinate the effective flow of information through-out the division, such as directing telephone and in-person inquiries to the appropriate staff;
- Deliver quality customer service by greeting, directing and assisting clients and the general public to their appropriate destination;
- Receive, screen, and respond to telephone inquiries, e-mails regarding divisional programs and services;
- Identify calls of an urgent nature then direct to appropriate staff, program or resource;
- Obtain proxy to social programs staff’s daily calendars to allow rescheduling/cancelling of appointments when necessary;
- Schedule appointments and locations for client and staff meetings;
- Manage correspondence received from clients, service providers, and vendors ensuring they are properly handled and forwarded to appropriate individual;
- Provide finance administration coverage support as needed, including:
- Receive batch reports and invoices for AccessAbility Supports, Social Supports and ChildCare Subsidy;
- Ensure invoices are entered correctly in our Integrated Management System (ISM) by auditing reports and invoices.
- Verifying data such as client name, amounts, dates, vendor name and address;
- Other duties as required.
Minimum Qualifications:
- Applicants must have Grade 12 and successful completion of a recognized post-secondary diploma in business or office studies;
- Demonstrated equivalencies will be considered;
- Experience in dealing with the public in a busy office environment is required;
- Experience performing complex clerical duties, such as auditing documents for accuracy and completeness;
- Excellent written and oral communication skills;
- Ability to adapt to stressful situations;
- Knowledge of working with a variety of software programs (Microsoft Office, Groupwise, ISM);
- Skill in organization, time management and interpersonal communication, as well as the ability to work both independently and in a team environment;
- A good previous work and attendance record and an acceptable criminal record check and vulnerable sector check.
